Brief Job Description:

Administrative Assistant III: This position is an Administrative Assistant III in the Litigation Department’s Records Management Group (RMG). The Litigation Department is one of seven departments in the Legal Services Division of the HHS Office of Chief Counsel. The Litigation Department provides legal advice and support for all pending or threatened litigation against HHS or HHS employees in their official or individual capacities. The Department serves as the primary point of contact with the Office of the Attorney General to defend lawsuits and administrative actions filed against HHSC or DSHS concerning employment decisions, tort claims, agency rules and policies, alleged constitutional deprivations, contract disputes, federal and state statutes, including the Medicaid Act, and to prosecute cases of Medicaid fraud.

The Administrative Assistant III provides administrative support to the Manager for RMG and the department as needed and is responsible for the oversight of obtaining and releasing responsive documentation for subpoenas and law enforcement requests that are served upon the agency, its program areas, or facilities, following HIPAA and Privacy Laws. The Administrative Assistant III also provides support to the bankruptcy attorney by assisting with research and filings regarding overpayments to providers or individuals who are in bankruptcy status.

Essential Job Functions (EJFs):

The Administrative Assistant III attends work on a regular and predictable schedule in accordance with agency leave policy and performs other duties as assigned. (10%)

The Administrative Assistant III will be primarily responsible for accepting personal service for subpoenas served upon the agency, answering/fulfilling subpoenas and law enforcement requests, Salesforce/ Gavel entries, creating files in the LSD drive, scanning, printing, corresponding and communicating with requesters or HHSC employees and program areas, redactions, reviewing records for PHI and PII information before release, coordinating releases between HHSC and the requester, researching bankruptcy cases in PACER, assisting program areas with filing Proof of Claims (POCs), calendaring, attending meetings and trainings, and answering simple public inquiries. Will assist the manager with shared inbox filings and incoming correspondence. (60%)

The Administrative Assistant III is assigned to the mail rotation for the department and will assist legal secretaries with mail as needed. (20%)

The Administrative Assistant III will perform other duties as assigned when necessary to support other litigation department functions. (10%)

Knowledge, Skills, and Abilities (KSAs):

Basic knowledge of Adobe Probe (combining, redacting, etc.), Microsoft Office (Excel, Word, PowerPoint, Outlook),
Experience with caseload management software, preferred.
Basic knowledge of subpoenas under state and federal rules and regulations, preferred.

Registrations, Licensure Requirements or Certifications:

Notary Public – preferred but not required.

Initial Screening Criteria:

A minimum of 3 years of administrative assistance experience is required. 2 years of experience in a legal setting, is preferred, but not required.

This position is 8 am – 5 pm Monday-Friday only, with an option to telework on Tuesdays and Thursdays. The times and dates listed are non-adjustable at this time. Serious inquiries only.
