Job Summary:
We are seeking a detail-oriented and proactive Legal Calendar Coordinator to manage all aspects of the New York court calendar for a law firm. This role is critical in ensuring seamless scheduling, deadline compliance, and effective communication across legal teams. The ideal candidate will have a strong grasp of NY court procedures, exceptional organizational skills, and the ability to thrive in a fast-paced environment.
Key Responsibilities:
Court Calendar Management:
Oversee all facets of the New York court calendar, including court appearances, motions, depositions, and client meetings.
Monitor and track deadlines for legal filings, responses, and other time-sensitive tasks.
Review and manage emailed court notices to update schedules and ensure accuracy.
Communication & Coordination:
Promptly circulate schedule changes or updates to attorneys, staff, and external parties.
Liaise daily with attorneys, paralegals, and support staff to resolve calendar conflicts and prioritize tasks.
Administrative Support:
Assist legal assistants and paralegals with projects, including document preparation and filing.
Perform general administrative duties as assigned, such as maintaining electronic records and generating reports.
Qualifications:
Education:
High school diploma or equivalent (required).
College degree (preferred).
Legal coursework or certification (e.g., paralegal certification) is a plus.
Experience & Skills:
2+ years of law firm experience, with familiarity in legal terminology, NY court procedures, and motion practice.
Proficiency with NY court systems (eCourts, eTrack) and Microsoft Office Suite (Outlook, Word, PowerPoint; Excel preferred).
Proven ability to multitask, prioritize, and maintain accuracy under tight deadlines.
Excellent written/verbal communication and interpersonal skills.
Additional Requirements:
Flexibility to work overtime as needed.
Ability to remain calm and efficient under pressure in a dynamic environment.
