Job Overview
The Billing Specialist plays an important role in the Accounting/Finance team and reports to the CFO/Director of Operations. The Billing Specialist is responsible for issuing monthly accurate and timely invoices for an assigned number of attorneys. Duties include incorporating attorney edits to monthly proformas and finalizing and submitting invoices to clients electronically, by mail and through electronic billing platforms. Maintains client/matter information in the finance system (Prolaw), such as addresses, rates, and invoice templates, as necessary.

This position will assist with customer billing inquiries to help reduce accounts receivable delinquency.

Duties

Monthly client billing for assigned attorneys, including invoice modification, as necessary
Maintain billing addresses, UDF fields, client/matter rates, and cost exceptions
Edit time and cost entries appearing on Proformas according to billing department guidelines
Account research and analysis
Prepare unbilled time reports for assigned attorneys, as necessary
Assist attorneys with billing inquiries
Prepare electronic billing set-up as necessary, including communicating with assigned attorneys until the monthly billing cycle is completed
Prepare, proof, and modify invoices accordingly per attorney instruction
Submit invoices by mail, email, and through third-party e-billing platforms as required
Research details of client-related expense items to provide supporting documentation on the invoices
Keep management informed of all critical delinquencies
Special projects as assigned by attorneys and/or managers

Experience

Law firm experience with legal billing/accounting systems, including experience with electronic billing platforms
Strong analytical skills with attention to detail are necessary for success in this role

Skills

Mathematical aptitude, strong organizational skills and the ability to work independently on various projects and prioritize multiple assignments to meet deadlines. Excellent verbal and written communication skills. Must be able to work independently and always display a professional manner. Excellent interpersonal skills necessary to communicate and interact with a diverse group of contacts and provide information with ordinary courtesy and tact.

Job Type: Full-time

Pay: $60,000.00 – $65,000.00 per year
