SENIOR ATTORNEY Jobs in Milton, FL at The State of Florida
We are seeking a highly organized and detail-oriented Administrative Assistant to support our Human Resources and Legal departments. This role requires professionalism and the ability to handle confidential information with integrity. The ideal candidate will have prior experience supporting legal and/or HR functions and possess a proactive, service-oriented attitude.
Key Responsibilities:
Provide administrative support to the Human Resources and Legal teams, including calendar management, scheduling meetings, and preparing documents.
Assist with document review, formatting, and filing, including employee records, contracts, and compliance documents. Draft and edit correspondence, memos, and internal communications.
Maintain organized digital and physical filing systems to ensure accurate recordkeeping and legal compliance.
Help coordinate onboarding and offboarding processes in collaboration with HR.
Track and follow up on deadlines, signatures, and required documentation.
Assist with basic research and compilation of data related to HR or legal matters as needed.
Serve as a point of contact for internal staff regarding general administrative support needs.
Support meeting preparation, including agendas, calendaring, materials, and minutes.
Qualifications:
2+ years of administrative experience, preferably supporting HR, legal, or compliance teams.
Strong organizational skills with attention to detail and accuracy.
Ability to handle confidential and sensitive information with discretion.
Excellent communication skills—both written and verbal.
Proficient in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace.
Familiarity with legal and/or HR terminology and processes is a plus.
Ability to prioritize tasks and manage time effectively in a fast-paced environment.
Education: A Bachelor’s degree in paralegal studies, business administration, public administration, or a related field is preferred.
Preferred Qualifications:
Prior experience in a law firm, corporate legal department, or HR office.
Working knowledge of employment documentation, recordkeeping practices, or regulatory compliance.
Essential Job Requirements:
Ability to remain in a stationary position (sitting or standing) for extended periods.
Ability to operate a computer and standard office equipment on a daily basis. Ability to communicate clearly and effectively, both verbally and in writing.
Ability to interact professionally with clients over the phone and by email.
Must be able to occasionally lift or move office materials up to 10 pounds.
Ability to follow verbal and written instructions, manage time effectively, and prioritize tasks.
Job Type: Full-time
Pay: $25.00 – $29.00 per hour
