Position Overview:

We are seeking a dedicated and highly organized Administrative Assistant to support our growing operations. This role is critical in ensuring the efficient running of the office and shop environment. You will serve as the first point of contact for customers, assist with sales support, maintain office records, and handle a variety of administrative duties. The ideal candidate will be detail-oriented, self-motivated, and capable of managing multiple responsibilities in a fast-paced setting that has an understanding of mechanical work and process.

Key Responsibilities: Customer Service & Sales Support:

Greet customers in person and by phone, assisting with inquiries related to merchandise, vehicle repairs, services, and pricing.
Provide quotes, handle service-related questions, and refer customers to technicians or sales personnel when needed.
Support the sales of alignments, and related mechanical services.
Promote customer satisfaction through timely and courteous interactions

Administrative Duties:

Manage calendars, schedule appointments, and coordinate meetings for the team.
Perform clerical tasks including data entry, filing, document preparation, and inventory tracking.
Draft, process, and track service contracts, construction agreements, and customer documentation.
Maintain and organize physical and digital filing systems.
Monitor and manage office supplies and materials, placing orders as needed.

Office & Operations Support:

Provide front desk coverage and answer phone calls promptly and professionally.
Assist in store bookkeeping, daily transactions, and credit program administration.
Coordinate pickup and delivery of parts and merchandise.
Support inventory management and stock reconciliation processes.

Qualifications & Skills:

Proven experience in an administrative or customer service role, preferably in an automotive or mechanical service environment.
Strong communication and interpersonal skills with a friendly, professional demeanor.
Excellent time management and multitasking abilities.
Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and capable of learning new software quickly.
Ability to read and understand contracts and legal documents.
Skilled in office equipment use and front desk operations.
Independent thinker with the ability to complete projects from start to finish and incorporate feedback effectively.
Bilingual (English/Spanish) is a plus, but not required.

Job Type: Full-time

Pay: $18.00 – $22.00 per hour

Expected hours: 40 per week
