Responsibilities

Vendor management of outside legal counsel, experts, and other suppliers, including payment arrangements and account reviews.

Access and monitor ALTEC (Finance accounts payable system), respond to inquiries.

Create and manage reimbursement requests, report costs to insurers, and handle year-end and semi-annual reports.

Coordinate with partners and colleagues to access legal support and direct them within the General Counsel’s Office.

Respond to insurance certificate requests and support insurance applications.

Prepare documents for signature using Docu Sign and other tools.

Manage the Legal Matters database and electronic/physical files.

Process requests for file destruction, ensuring compliance with litigation holds.

Arrange travel for legal counsel.

Assist in preparing presentations and learning materials.

Manage expenses, calendar, and professional fees for the legal department.

Schedule meetings, prepare agendas, and follow up on action items.

Utilize technology tools to improve efficiency.

Support lawyers with administrative needs and close transaction files.

Assist with partner votes and compliance documentation.

Perform other administrative duties as needed.

Qualifications

Post-secondary diploma/degree, preferably in a legal-related field.

5+ years in a similar role, ideally in a law firm or legal department.

Strong organizational and multitasking skills.

Excellent interpersonal skills, capable of interacting with senior executives.

Proficiency in Teams, Excel, Word, Outlook, PowerPoint, SharePoint, and PDF editing.

Excel skills are a priority for financial tracking and reporting.

Willingness to support IT issues and submit service tickets.

Discretion and good judgment with confidential information.
