Position Overview

Position Summary:
Under general supervision; perform a variety of office clerical functions for the department(s) on a regular basis.

Requirements

Duties and Responsibilities:

Perform routine secretarial duties such as word processing/typing, filing, verifying information, coordinating flow of documents and scheduling events and meetings
Operate personal computer to enter data, compile and type reports, prepare letters and general correspondence
Monitor departmental budget(s) and perform routine record keeping duties
Perform a range of operational support activities for the department(s) and serve as a liaison with other departments on basic administrative and/or operational matters
Greet and direct visitors, and when appropriate, resolve routine problems and answer inquiries concerning activities and operations of the department(s), accept, screen and route telephone calls, and maintain log of inquiries as required
Sort, screen, and distribute mail
Order, stock and distribute office supplies
May oversee the functional activities of student employees
Regular and predictable attendance required
Perform other related duties as assigned
Minimum Job Requirements:
High school diploma or GED certificate and a minimum of six months experience directly related to the duties specified are required.
Knowledge, Skills and Abilities:

Ability to perform routine and moderately complex clerical tasks rapidly and accurately
Skill in the use of standard office equipment
Ability to understand and convey procedures and regulations established
Ability to perform basic bookkeeping procedures
Ability to maintain confidentiality of records and information
Skill in word processing and data entry
Ability to maintain an effective working relationship with others
Ability to communicate effectively, both orally and in writing

Working Conditions

Physical Demand and Working Conditions:

Work is performed during normal work hours but may require some evening or weekend hour
Work is sedentary in nature that at times requires exerting up to 10 pounds of force occasionally and/or a consistent amount of force frequently or constantly to lift, carry, push, pull or otherwise move objects.

Insurance for Eastern New Mexico University is offered through the New Mexico Public Schools Insurance Authority. High coverage and low coverage options are offered for medical and dental insurance so employees can choose the plan that’s right for them.

Retirement

Eastern New Mexico University participates with the New Mexico Educational Retirement Board (NMERB), Social Security, and Medicare.

The University also offers supplemental retirement plans. 403b and 457b plans are available through TIAA/CREF, AIG VALIC, Roth 403b and 457b plans are also available through TIAA/CREF.

Paid Time Off

During the first year of service, full time non-exempt (hourly) employees accrue 7 hours of annual leave and 7 hours of medical leave per month. During the second year of service, full time non-exempt employees accrue 10 hours of annual leave and 10 hours of medical leave per month. During the third and subsequent years of service, full time non-exempt employees accrue 14.66 hours of annual leave and 14 hours of medical leave per month.

Employees must work for the University for three months before they are eligible to use annual leave. Temporary employees do not accrue leave.

Employee Educational Assistance Plan

Eastern New Mexico University offers a tuition waiver for regular employees and retirees. This program waives the tuition for three courses (up to nine credit hours) per semester. Employees’ spouses or children may be eligible to use the tuition waiver during any semester that it is not being used by the employee.
