Full Job Description

Opening for a Legal Receptionist at a boutique law firm in Eugene, Oregon. Applicant must have knowledge and experience in Microsoft and Adobe software. Prior experience in CLIO, Microsoft Office, and Microsoft Teams is a plus, but applicant must be willing and able to learn software and be “tech savvy”. Applicant must be self-driven and want to be a part of a team atmosphere. Applicant must also be able to problem solve and be able to learn new technology as Firm utilizes technology on an ongoing basis. Also, the Firm handles a heavy caseload of clients with emotional needs and the Receptionist will act as the first point of contact for these clients. Applicants must be interested and able to clearly communicate with clients and provide information to team members on a regular basis.

General office duties include:

· answering and fielding incoming phone calls,

· scheduling appointments,

· office errands,

· sending and receiving all incoming and outgoing mail,

· greeting clients,

· scanning and faxing,

· emailing clients, third-parties and attorneys,

· running all operations for the “front of the house” of the Firm, and

· multitasking between different assignments, phones, and in-person clients.

Applicant will be required to obtain a Notary Public certification and perform duties of a notary. The Firm strives to work in a team environment and provides onboard training for new applicants with the expectation that any applicants be ready and willing to learn new technology and the Firm’s office procedures. The Firm works in a fast past environment and Applicant will be looked to as an asset of the Firm to assist with caseloads and client communications. Once onboarding is complete, the Applicant will be expected to come up with proposed solutions to problems and present them to the Firm. This includes technological issues such as: printing issues, scanning issues, Firm processes, client management, etc.

Firm’s hours of operation are Monday-Thursday: 9:00am-5:00pm and Fridays: 9am-noon, with occasional flexibility to accommodate clients.

Please note that remote work is not supported in this position and Applicant will be required to work in office at their own assigned space. This position does come with 50% health insurance coverage and flexible vacation time. Parking is also provided on-site. All applicants must submit a Writing Sample or a Cover Letter along with their Resume.
