Position Summary
The Probate Administrative Assistant serves as the primary point of contact for new and existing probate clients, providing timely and professional support. This role is essential to maintaining excellent client relationships by gathering necessary information, addressing inquiries, and ensuring seamless communication between clients and attorneys. Key Responsibilities
Client Support: Answer inbound calls and communications from probate clients with a cheerful, professional demeanor, even in challenging situations.
Information Gathering: Communicate effectively, asking thoughtful questions to assess client needs.
Appointment Coordination: Schedule and confirm appointments, reschedule as necessary, and maintain an organized calendar.
Billing & Payments: Send invoices, process payments, and ensure accurate records.
File Management: Create new client files and maintain accurate records, including scanning incoming and preparing outgoing mail.
New Client Intake: Manage the intake process for all new probate clients efficiently and professionally.
Department Support: Assist the Probate team with various tasks and projects as needed.
Additional Duties: Perform other work-related duties as assigned.
Qualifications
Minimum of 2 years of professional experience, preferably in a law firm or related field.
Exceptional customer service skills, with the ability to handle stressful situations calmly.
Strong oral and written communication skills, with a focus on professionalism and clarity.
Proven ability to multitask and manage priorities in a fast-paced environment.
Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
A proactive and detail-oriented approach to work.
