We are seeking a detail-oriented Real Estate Legal Coordinator with legal knowledge and transactional experience to provide comprehensive legal support and document coordination across acquisitions, dispositions, financings, and development projects.
Role Overview
We are seeking a detail-oriented Real Estate Legal Coordinator/Paralegal to manage legal document flow, coordinate due diligence materials, and provide operational legal support across our real estate transactions. This role will serve as a key support resource to our legal team and senior leadership, coordinating among in-house counsel, external counsel, lenders, title companies, and other transaction stakeholders. The ideal candidate will have legal knowledge, strong familiarity with real estate transaction documents and processes, and the ability to manage multiple transactions simultaneously in a fast-paced environment.
Key Responsibilities
Legal Document Review & Organization
- Review incoming legal transaction documents (purchase agreements, loan agreements, title reports, surveys, environmental assessments, financing documents) for completeness and route to appropriate review
- Maintain organized legal document repositories and electronic data rooms for each transaction
- Compile and organize legal closing documentation, ensuring all required closing papers are properly organized and executed
- Prepare transaction abstraction summaries, document checklists, and closing memoranda for legal review
- Flag inconsistencies, missing signatures, or incomplete documents requiring attention
Legal & Deal-Level Due Diligence Support
- Assist in organizing, cataloging, and summarizing title, survey, zoning, environmental, engineering, and lender diligence materials
- Prepare due diligence tracking lists and summary matrices for legal and management review
- Coordinate receipt and organization of environmental reports, engineering assessments, third-party appraisals, and survey documents
- Track lender legal due diligence requests and coordinate internal and external responses
- Organize and summarize key findings from title reports, environmental reports, and engineering assessments for attorney and leadership review
- Support management's analysis of operational due diligence findings (structural, mechanical, environmental issues, etc.)
- Prepare deal-level due diligence summaries highlighting risks, compliance issues, and outstanding items
Transaction Document & Coordination Management
- Coordinate the flow of legal and operational documents among in-house counsel, outside counsel, lenders' counsel, title companies, brokers, engineers, and other parties
- Manage document revision cycles and maintain version control of transaction agreements and reports
- Prepare closing binders and organize legal and transaction closing documentation in proper sequence
- Assist with coordination of legal closing requirements and operational closing schedules
- Track document execution and maintain records of signed legal documents and closing items
Consultant & Service Provider Coordination
- Serve as operational liaison with outside counsel, lenders' counsel, title companies, brokers, appraisers, environmental consultants, engineers, and surveyors
- Coordinate engagement of local counsel and consultants across multiple jurisdictions
- Track consultant deliverables, timelines, and outstanding items (surveys, environmental reports, engineering assessments, appraisals)
- Manage communications regarding document status, revisions, and outstanding issues across all transaction parties
- Schedule and coordinate calls and meetings with legal professionals, brokers, engineers, and consultants regarding transaction status
- Prepare summaries of consultant findings, legal requests, and outstanding transaction matters for attorney and leadership review
Lender & Financing Coordination
- Track lender legal and operational requirements and coordinate submission of legal documentation, certifications, and closing items
- Manage lender requests, due diligence checklists, and closing condition documentation
- Coordinate with lenders' counsel on legal documentation and closing logistics
- Prepare lender compliance matrices and track satisfaction of closing conditions
- Manage communications regarding lender requirements and closing timelines
Transaction Administration & Reporting
- Maintain transaction timelines and status trackers, noting legal milestones, due diligence deadlines, and operational closing requirements
- Prepare comprehensive transaction reports highlighting legal due diligence status, deal-level findings, consultant deliverables, and outstanding items
- Assist with implementation of legal and transaction management systems and procedures
- Support maintenance of transaction templates, closing procedures, and precedent documents
- Support process improvement initiatives to enhance transaction efficiency, legal compliance, and deal execution
- Prepare executive summaries of deal progress for leadership review
Qualifications
Required
- Bachelor's degree or Associate's degree in paralegal studies, legal studies, business, or related field; OR equivalent legal/operations work experience
- 2-4 years of experience in real estate transactions, paralegal work, deal coordination, legal document review, or law firm support roles
- Strong working knowledge of real estate transaction documents, processes, and terminology (purchase agreements, loan documents, title insurance, surveys, financing documents)
- Familiarity with real estate due diligence materials and processes (environmental reports, engineering assessments, appraisals, surveys)
- Proficiency with legal and transaction document management systems
- Excellent organizational skills and attention to detail in legal and operational documentation
- Strong written and verbal communication skills
- Ability to manage multiple complex transactions and coordinate across multiple stakeholders simultaneously
- Ability to work effectively in a fast-paced, deadline-driven deal environment
Preferred
- Paralegal certification or continuing legal education in real estate law and transactions
- Experience at a commercial real estate law firm, title company, or in-house legal department
- Background in commercial real estate transactions, acquisitions, dispositions, or financing
- Experience with deal-level due diligence coordination (managing consultant deliverables, coordinating appraisals, environmental assessments, etc.)
- Background in self-storage, industrial, multifamily, or land development transactions
- Experience with title insurance, survey review, zoning analysis, and environmental due diligence
- Experience coordinating with lenders, title companies, brokers, environmental consultants, and external counsel
- Knowledge of closing procedures and loan closing logistics
- Proficiency with legal research tools and real estate transaction databases
- Familiarity with corporate entity formation documents and transaction structuring
- Experience with transaction management software and data room platforms
- Background in private equity, REIT operations, or institutional capital structures
