Location: The role is hybrid, and the Firm is open to entirely remote candidates. However, in-person at the San Francisco office at least once a week is strongly preferred.

Job Summary: The Coordinator proactively supports the growth of a young legal practice through a daily mix of administrative and marketing tasks. The Coordinator is communicative, detail-oriented, thrives in a fast-paced environment, enjoys variety in daily and weekly work tasks, and is happy working independently.
This is a role for someone who enjoys working with legal concepts, legal professionals, and clients, but is NOT a role for an aspiring attorney.
Work Status: W-2 employee

Hours: Full-time, Monday through Friday 9:00 am to 5:30 pm Pacific Time (30-min unpaid lunch).

Pay & Benefits:
$31.00 – 36.00 per hour (commensurate with experience and location).
40-hours of “front-loaded” sick time upon commencement of employment, capped at 72 hours annually.
Commencing after 90-day trial period, vacation time earned at the rate of 1 hour for each 40-hours worked, and capped at 80-hours annually.
Commencing after 90-day trial period, $350.00 monthly stipend for personal healthcare coverage reimbursement.
Commencing after 90-day trial period, $50.00 monthly stipend for use of personal phone and internet (for remote work).
Observed and paid Firm holidays are New Year’s Day, Memorial Day, Independence Day, Labor Day, Thanksgiving Day, and Christmas Day.

Scope of Responsibility:
Virtual Receptionist: Answering and routing incoming telephone calls to the Firm Monday through Friday during open hours.
Lead Management & Client Intake: Manage incoming leads to the Firm by implementing the Firm’s SOPs and using the practice management software’s CRM. The Coordinator will need to utilize judgment to balance the need for a swift response to incoming leads, against other work tasks related to existing clients. The Coordinator will schedule (and may attend) meetings related to potential and existing clients, client matters, and cases. The Coordinator will also use the Firm’s templates to draft representation agreements, and project scopes.
Invoicing & Collections: On the first working day of each month, the Coordinator drafts invoices for all open matters of the Firm that contain time entries. The position checks draft invoices for clarity, spelling, and grammar errors. The position works with the Firm to finalize and issue invoices by the 5th of the month to the client in the manner desired by the client. Certain matters may require the additional creation of monthly hour reports, or receipts. The Coordinator monitors paid and unpaid invoices, and follows SOPs for ensuring smooth collections on open invoices.
Marketing & Content Creation: The Coordinator will create social media and marketing content. Projects will include creating social media posts, creating traditional print ads, assisting in writing client legal handouts, assisting in drating blogs and trade journal articles on legal or business topics, designing presentations, and maintaining the website copy and online content related to the Firm.
Administrative Tasks:
Attend meetings related to management of the Firm and its matters. Currently, at least 3-weekly meetings of varying length checking in with the team. Daily communication over email, messaging app, and virtual meeting (phone or video call).
Assist the Legal Assistant in scheduling and calendaring meetings.
Support general administrative workflows, including designing weekly, monthly and quarterly team meetings.
Analyze existing SOPs, and continue to develop, improve, implement and organize them.
Maintain familiarity with the Firm’s technologies and tools, and assist with keeping the Firm’s tools relevant.
Track client matters and time estimates, continually improving template project scopes.
Develop and maintain the Firm’s email list serve and email newsletter.
Reserve lodgings and making arrangements for travel related to the Firm’s cases or business or internal development.
The Coordinator may perform other similar or related duties which may not be specifically included within this position description, but which are consistent with the general level of the job and the responsibilities described.

Working Environment/Minimum Physical Requirements: This role is primarily an in-office job (whether virtual or in-office). If present in the office in San Francisco, CA, physical requirements include standing, sitting, bending, and lifting (up to approximately 15 lbs- office supplies). More than 80% of time is spent at a computer or device. Regardless of whether virtual or in-office, some travel required to nearest post office.

Equipment: The position requires access to viable internet (50-megabit speed minimum) and a phone with mobile application capacity. The company will provide a Mac laptop only for work use. Proof of internet speed and personal phone may be requested during the negotiation period.

Desired Characteristics:
5 years of minimum experience in client services and operations type role.
Excellent written and verbal skills.
Highly organized and able to manage multiple priorities independently.
Demonstrated interest in marketing and content creation.
Legal industry experience is a plus.
Desire to read, understand, and apply legal compliance rules and regulations surrounding law firm operations and attorney marketing.
Fluency in English (written and spoken) required. Preferred professional fluency in Spanish.
Hunger to help the Firm grow, and willingness for the role to evolve.
