Job Description

We have an exciting opportunity in our Chicago office for a Project Assistant to join our team and contribute to both short- and long-term projects. In this role, you’ll manage tasks assigned by paralegals and attorneys, collaborate with internal and external partners, and help ensure projects are completed on schedule and within budget. The ideal candidate will be highly organized, adaptable, and skilled at prioritizing tasks while working independently.

Project Assistant Duties and Responsibilities

Draft and assist in preparing a variety of materials, including engagement letters, proposals, CLE presentations, conflict waiver letters, deal summaries, and draft proposals.

Manage document creation and review processes, such as drafting key documents, updating deal documents with opposing counsel’s comments, proofreading for spelling and grammar, reviewing revisions on non-Firm controlled documents, and highlighting substantive changes for attorneys. Also responsible for redacting legal documents as needed.

Support deal closings by handling tasks such as uploading diligence materials, ordering corporate documents, compiling signature pages, tracking deals, organizing closing binders, creating summary sheets, and storing relevant documents in the internal database. Collaborate with the finance team and attorneys to prepare pre-bills, calculate invoice totals, and assist with billing preparation.

Perform various administrative tasks as needed.

Collaborate with paralegal and attorney teams to complete additional assignments as required.

Qualifications:

Associate’s degree preferred, but not required

Minimum one year of internship or professional services experience preferred

Strong organizational skills with the ability to manage workflow and prioritize tasks effectively

Proactive, with the ability to anticipate needs and follow through with minimal supervision

Proven ability to meet deadlines, juggle multiple tasks, and manage competing priorities

Self-motivated, independent, and able to take initiative

Excellent communication and interpersonal skills

High attention to detail and strong problem-solving abilities

Ability to proactively identify and address potential issues

Proficient in Microsoft Office Suite and other common office software

Collaborative team player with a positive and supportive attitude

Highly motivated with a strong work ethic and commitment to excellence

Reliable, trustworthy, and dedicated to contributing to the team’s success

Ability to thrive in a fast-paced, deadline-driven environment

Adaptable with the ability to adjust to changing priorities

Demonstrated discretion in handling confidential information
