The Practice Assistant will take an active interest in and obtain a thorough understanding of client requirements to provide exceptional service levels to both lawyers and clients. The Practice Assistant will act as workflow coordinator for other support services, including delegating and reviewing the completion of document production, file management, copying/scanning work and other administrative tasks.
Key Responsibilities
- Administrative:
Manage calendars, keep them up to date, and remind lawyers of meetings daily. Arrange meetings, book conference rooms, refreshments, check rooms prior to meetings, and liaise with attendees (internal and external). Arrange travel bookings through support teams. Manage photocopying, printing, couriers, letters, faxes, etc. Open/close files, supervise filing and record keeping. Use systems to ensure short- and long-term tasks are completed within required timescales.Support lawyers in marketing activities, including preparation of pitches and presentations.
- Communication:
Handle internal and external telephone queries and pass messages timely. Monitor post and/or e-mails and route client-related correspondence to the appropriate lawyer if the relevant person is out of the office. Liaise with administrative support departments and the Team Leader regarding planned absences and cover as needed. - Client relationship management:
Be an active part of client care and maintain familiarity with contacts/clients. Enter, update, and maintain client details in the Firm’s CRM. Address basic client queries and perform general administration. Arrange client meetings. - Document production:
Check correspondence, attachments, documents, reports, presentations, and faxes produced by the Document Production team before passing to the relevant lawyer. Undertake basic/minor amendments where appropriate. Type urgent/short/confidential correspondence and emails. Produce and maintain Excel spreadsheets as required. - Financial – Billing:
Assist lawyers and the Practice Group Billing Coordinator with the billing and credit control process by liaising with the lawyer and accounts, producing standard prebill financial/time reports through the system. Request cheques, bank transfers, and money deposited, as appropriate. - Other duties and responsibilities:
Provide assistance to colleagues and, where practical, other departments. Team duties include assisting other members of the firm proactively and at the request of the Team Leader; perform any other duties as requested by the Lawyers or Team Leader.
Key Competencies
- Legal Assistant or Law Clerk Diploma or equivalent experience; minimum 3 years as a Legal Assistant supporting relevant areas of business law.
- Proficiency in MS Office (excellent knowledge of advanced functions in Word).
- Professional communication with clients and lawyers; ability to interact professionally with all members of the firm.
- Strong organizational and time-management skills; self-starter with minimal instruction/supervision.
- Detail-oriented with good proofreading skills; excellent multi-tasking abilities.
- Ability to follow instructions with minimal supervision and take initiative; able to set priorities while maintaining flexibility.
- Team player with excellent interpersonal skills.
Compensation and Inclusion
The expected salary range for this position is $55,000 – $70,000, depending on level of experience, region/location, and other factors.
