We have an opening for the position of Police Records Technician in our Police Department. Under general supervision performs a variety of specialized clerical duties to prepare, maintain and release materials relating to law enforcement activities, and to perform related work as required.
The following duties are typical for this classification. Incumbents may not perform all of the listed duties and/or may be required to perform additional or different duties from those set forth below to address business needs and changing business practices.
Operates a keyboard, computer and telephone to produce reports, correspondence, schedules, notices and statistical data.
Checks and tabulates statistical and financial data.
Completes state-required reports; provides copies of reports to other law enforcement and criminal justice agencies, court personnel, attorneys, employees, and department supervisors.
Processes payments of fees for crime and traffic reports and parking tickets and prepares receipts.
Processes, maintains, sorts, photocopies, routes records and files of citations, field interviews, warrants, arrests, crime cases, traffic reports and related police records according to departmental guidelines and meets set deadlines.
Reviews documents for errors or omissions and refers to appropriate issuing officers for corrections.
Serves as the department liaison to the District Attorney’s Office regarding officers’ court appearances; verifying proof of service documents and relaying messages.
Enters subpoena information into the court database for all court subpoenas and retrieves police documents in support of officers’ court appearances and issued subpoenas.
Assembles court packages for filings with the District Attorney within established procedures and deadlines.
Composes a variety of correspondence and prepares written public record documents requiring independent judgment as to content with accuracy and completeness, while being mindful of current written laws.
Provides court required information to the City Attorney and District Attorney including videos, photos, transcripts of 911 calls, and criminal background checks.
Greets visitors and general public when working at the front counter at the Police Department; assists and provides information to visitors, law enforcement officers, and outside agencies.
Answers inquiries from the public, outside agencies, officers, and courts or refers to proper department or official.
Releases information to the public, government agencies, and other businesses in accordance with legal guidelines.
Determines proper authority of requestors for record release, and releases criminal record information to law enforcement and other approved government agencies.
Uses computer terminals to access county, state, and federal law enforcement files when researching data regarding citations and arrests and responding to officer inquiries.
Files cases, citations and related documents.
Takes Livescan fingerprints according to state and department regulations.
Seals records as ordered by the Courts.
Creates, receives and distributes detention letters
Purges files and destroys certain records as mandated by the Penal Code and the city retention policy
Prepares bank deposits for payments collected.
