Depending on the candidate’s experience and strengths, the position may focus primarily on one department or involve responsibilities across multiple areas.

We are looking for people who are organized, comfortable communicating with clients and insurance companies, able to manage deadlines, and willing to take ownership of their assigned responsibilities.

Compensation

Salary range of $30,000 to $40,000 annually, depending on experience, qualifications, and the responsibilities assigned to the position.

Potential Insurance & Claims Responsibilities

  • Establishing bodily injury, uninsured/underinsured motorist, medical payments, property damage, and other insurance claims
  • Sending letters of representation to insurance companies
  • Obtaining insurance coverage information and declarations pages
  • Confirming policy limits when available
  • Monitoring insurance claims and maintaining accurate claim information
  • Communicating with insurance adjusters regarding claim status
  • Following up on outstanding insurance documents and coverage issues
  • Assisting attorneys with preparing settlement demands and supplemental demands
  • Tracking settlement offers, demand dates, and insurance correspondence
  • Maintaining organized and accurate electronic case files
  • Communicating important insurance developments to attorneys and other team members

Potential Medical Records & Billing Responsibilities

  • Requesting medical records and itemized billing from healthcare providers
  • Following up with providers regarding outstanding requests
  • Reviewing received records and bills for completeness
  • Identifying missing dates of service, records, or billing
  • Maintaining accurate medical expense spreadsheets and case summaries
  • Organizing medical records for attorney review, demands, discovery, mediation, and litigation
  • Monitoring client treatment and determining when updated records or bills are needed
  • Communicating with medical providers regarding records and billing issues

Potential Lien & Subrogation Responsibilities

  • Identifying potential Medicare, Medicaid, health insurance, ERISA, medical provider, and other liens
  • Sending notices of representation to lienholders and subrogation companies
  • Requesting updated and final lien information
  • Following up regularly regarding outstanding liens
  • Maintaining accurate lien information in each client file
  • Assisting attorneys with obtaining lien reductions
  • Tracking lien resolution as cases approach settlement
  • Helping ensure all liens and outstanding balances are addressed before settlement funds are distributed

General Responsibilities

All team members are expected to:

  • Communicate professionally with clients, attorneys, insurance companies, medical providers, and other parties
  • Maintain detailed and accurate notes regarding case activity
  • Calendar and follow up on deadlines
  • Identify outstanding tasks and proactively move files forward
  • Work collaboratively with attorneys and other members of the firm’s case-management team
  • Maintain confidentiality and professionalism
  • Manage multiple files and priorities without allowing matters to become stagnant

  • Ability to independently follow up on outstanding matters
  • Comfortable speaking with clients, insurance adjusters, medical providers, and other professionals
  • Ability to work with electronic case-management systems and digital files
  • Ability to manage multiple responsibilities in a fast-paced office
  • Reliable, professional, and willing to learn

Experience in a personal injury law firm, insurance company, medical office, records department, or similar environment is preferred but not required.

We are willing to train candidates who demonstrate strong organizational skills, initiative, professionalism, and the ability to learn quickly.
