Job Summary

Law Firm in Utica is seeking an organized, compassionate, and persistent Personal Injury Case Manager to take ownership of a portfolio of motor vehicle accident cases. This is not a position for someone who wants to simply process paperwork. Our case managers serve as the primary point of contact for clients, keep claims moving forward, identify problems before they become emergencies, and help position each case for the best possible resolution. The ideal candidate knows how to balance empathy with efficiency. You should be comfortable speaking with injured clients, medical providers, insurance representatives, attorneys, and lienholders—and following up until you get what the case needs.

Former bodily injury, automobile liability, or claims adjusters are strongly encouraged to apply. Your knowledge of how insurance companies evaluate and negotiate claims would be extremely valuable in this role.

What You’ll Do

You will manage primarily pre-litigation motor vehicle accident cases from intake through settlement. Your responsibilities will include:

Client Communication and Care

  • Conducting a detailed introductory call with each new client
  • Serving as the client’s primary day-to-day point of contact
  • Completing meaningful client check-ins at least once every two weeks
  • Monitoring the client’s medical treatment, symptoms, work status, and recovery
  • Explaining the claims process in clear, everyday language
  • Promptly responding to client questions and concerns
  • Documenting all client communications and material developments
  • Identifying clients who need attorney involvement or additional support
  • Building genuine relationships so clients feel informed, valued, and protected

Claims Management

  • Opening and initiating claims with all applicable insurance carriers
  • Obtaining claim numbers and confirming assigned adjusters
  • Identifying applicable bodily injury, no-fault, uninsured motorist, underinsured motorist, and other available coverage
  • Requesting and reviewing declarations pages, policy information, and coverage correspondence
  • Monitoring applicable insurance deadlines and notice requirements
  • Communicating professionally and strategically with adjusters
  • Tracking property-damage issues when relevant to the bodily injury claim
  • Identifying potential coverage, liability, or causation problems early
  • Escalating disputed or complex issues to the supervising attorney

Medical Records and Treatment Management

  • Preparing and sending medical-record and billing requests
  • Securing properly executed HIPAA and other required authorizations
  • Following up with providers and records vendors until requests are completed
  • Reviewing records and bills for completeness and accuracy
  • Maintaining an organized medical-treatment chronology
  • Tracking diagnoses, referrals, imaging, procedures, therapy, restrictions, and future-care recommendations
  • Identifying treatment gaps, inconsistent histories, prior injuries, missing records, and unresolved liens
  • Communicating with clients regarding treatment status without providing medical advice
  • Confirming that the file contains the documentation needed to properly evaluate and present the claim

File Ownership and Organization

  • Maintaining complete, accurate, and well-organized electronic case files
  • Entering notes, tasks, deadlines, documents, and communications into the firm’s case-management system
  • Keeping contact, insurance, employment, medical, and damages information current
  • Maintaining a clear case plan and next-action list for every assigned matter
  • Completing recurring file reviews to ensure claims continue moving forward
  • Tracking statutes of limitation and other critical deadlines
  • Preparing concise case-status summaries for attorney review
  • Ensuring that another team member could open the file and immediately understand its status

Damages Development and Demand Packages

  • Gathering medical records, bills, wage-loss documentation, photographs, reports, and other damages evidence
  • Helping clients document how their injuries have affected their work, family responsibilities, activities, and quality of life
  • Preparing medical chronologies and damages summaries
  • Identifying outstanding balances, liens, subrogation interests, and reimbursement claims
  • Drafting polished and persuasive settlement-demand packages
  • Ensuring demand packages are accurate, complete, and supported by the file
  • Calculating and documenting economic damages
  • Working with the supervising attorney to establish settlement strategy and authority

Negotiation and Resolution

  • Presenting claims to insurance carriers
  • Following up consistently after demands are submitted
  • Evaluating and documenting adjuster responses
  • Negotiating routine bodily injury claims within parameters established by the supervising attorney
  • Recognizing common insurance-company valuation tactics and responding strategically
  • Keeping clients informed throughout negotiations
  • Communicating offers and recommendations in coordination with the attorney
  • Assisting with lien resolution, settlement documentation, and closing procedures
  • Helping ensure that clients understand the resolution process and know what to expect next

What We’re Looking For

Our ideal candidate has:

  • Experience managing plaintiffs’ personal injury claims, insurance claims, or automobile bodily injury files
  • Strong understanding of the life cycle of a motor vehicle accident claim
  • Excellent written and verbal communication skills
  • The ability to speak compassionately with injured and sometimes frustrated clients
  • Strong organizational habits and close attention to detail
  • The ability to manage a substantial caseload without losing sight of individual clients
  • Confidence communicating and negotiating with insurance adjusters
  • The persistence to follow up repeatedly—and professionally—when records, bills, or responses are delayed
  • Sound judgment about when a matter can be handled independently and when attorney involvement is needed
  • The ability to prioritize deadlines and keep multiple files moving simultaneously
  • Comfort working with case-management software, electronic records, email, and Microsoft Office
  • A collaborative attitude and willingness to accept feedback
  • A commitment to confidentiality, professionalism, and excellent client service
