Position Title: Patent Paralegal / IP Paralegal with Trademark & Docketing Experience

Overview:

We are seeking a highly organized and detail-oriented Patent Paralegal/IP Paralegal to join our dynamic Intellectual Property (IP) Team. The ideal candidate will have a solid understanding of patent and trademark law, corporate experience, and expertise in patent/trademark docketing systems and procedures. The individual will play a critical role in managing the docketing system for patent and trademark filings, deadlines, and related correspondence. This position requires a proactive approach to ensure compliance with applicable laws, efficient filing, accurate record-keeping, and collaboration with legal teams.

Key Responsibilities:

Patent and Trademark Docketing: Manage and maintain the docketing system for both patent and trademark filings, ensuring critical filing dates, deadlines, and actions are accurately entered and tracked.

Filing and Correspondence: Coordinate and prepare filings for both patents and trademarks, as well as related correspondence with the relevant patent offices.

Deadline Management: Track and ensure timely completion of key deadlines, including office actions, renewals, and other important dates. Establish internal reminders to monitor action items effectively.

Docketing Software Utilization: Proficiently use docketing software (e.g., CPI, FoundationIP, or similar platforms) to manage and update case statuses, track intellectual property matters, and maintain accurate client files.

Compliance and Reporting: Ensure filings are compliant with national and international patent and trademark laws. Prepare and provide periodic status reports to clients and legal teams regarding upcoming deadlines, filings, and renewals.

Corporate Legal Experience: Utilize experience in corporate law to assist with the preparation and filing of IP-related documents, ensuring alignment with broader business strategies and compliance requirements.

Collaboration with Legal Teams: Work closely with patent and trademark attorneys, paralegals, clients, and corporate teams to gather information and ensure that filings and deadlines are managed accurately.

Data Accuracy and Integrity: Perform routine audits and ensure the consistency and accuracy of docketing information. Address discrepancies to maintain data integrity.

Support and Training: Provide guidance and training to junior docketing staff, assist in onboarding new team members, and share expertise on docketing systems and procedures.

Qualifications/Education:

Bachelor’s degree or equivalent experience.

Certification in intellectual property, patent/trademark docketing, or related fields is a plus.

Experience:

Minimum of 2-4 years of experience in patent and trademark docketing or a related IP administrative role, preferably with a focus on corporate environments.

Proficiency in docketing software such as CPI, FoundationIP, or similar platforms.

Strong understanding of patent and trademark prosecution processes, filings, deadlines, and requirements, both in the United States and internationally.

Skills:

Strong organizational and time management skills with the ability to handle multiple tasks and prioritize deadlines.

Exceptional attention to detail and accuracy in maintaining records and tracking deadlines.

Strong communication skills, both written and verbal, with the ability to collaborate effectively with attorneys, clients, and internal teams.

Ability to work independently and as part of a team in a fast-paced, dynamic environment.

Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
