Patent Paralegal

We are seeking an experienced Patent Paralegal to join a global and highly collaborative Intellectual Property team. This role offers the opportunity to independently manage complex patent portfolios, work closely with international stakeholders, and contribute to the continuous improvement of IP operations and processes in a dynamic innovation-driven environment.

Main Responsibilities

Patent Portfolio Management & Administration

  • Independently manage complex patent portfolios and patent administration activities across multiple jurisdictions.
  • Coordinate patent filings, prosecution activities, and procedural matters throughout the patent lifecycle.
  • Ensure compliance with legal, procedural, and internal requirements.
  • Maintain accurate, complete, and high-quality patent records within the IP management system.

Docketing, Quality & Risk Management

  • Monitor and manage critical deadlines to ensure protection of IP rights.
  • Perform quality reviews and contribute to maintaining high standards of data integrity and process excellence.
  • Identify procedural risks and implement appropriate mitigation measures.

Stakeholder Management

  • Serve as a key point of contact for Patent Counsel and internal stakeholders. Collaborate closely with external patent law firms and patent offices worldwide.
  • Support complex procedural matters and portfolio-related activities in an international environment.

Systems, Processes & Continuous Improvement

  • Work with IP management systems and patent office platforms (e.g., EPO, WIPO, USPTO, UPC).
  • Support the development, harmonization, and documentation of IP processes.
  • Participate in digitalization and process improvement initiatives.
  • Translate changes in legal requirements and system developments into efficient operational workflows.
  • Contribute to onboarding activities, knowledge sharing, and best-practice implementation within the team.

Profile We Are Looking For

  • 3–5 years of experience in patent administration, either in-house or within a patent law firm.
  • Solid understanding of international patent procedures and the patent lifecycle.
  • Experience working with IP management systems; familiarity with Unycom is considered an advantage.
  • Strong proficiency in Microsoft Office 365.
  • Fluent English, both written and spoken.
  • Highly organized, detail-oriented, and process-driven.
  • Strong analytical and problem-solving skills.
  • Ability to manage complex matters independently while maintaining exceptional quality standards.
  • Excellent communication and stakeholder management skills in an international environment.
  • Proactive mindset with a strong sense of ownership and accountability.
