The successful candidate will bring a minimum of five years’ experience supporting an Intellectual Property practice and will play a key role in managing filings and administrative processes related to patents, trademarks, industrial designs, and copyrights. This position supports an established practice and operates within a hybrid work model.

Compensation:

Toronto-based salary range: $60,000 – $80,000 annually

Compensation will be commensurate with experience, skills, and qualifications.

Key Responsibilities

Document Preparation & Filings

  • Prepare, draft, revise, and format correspondence and submissions for intellectual property authorities in Canada, the United States, and internationally, including responses to office actions.
  • Coordinate and submit filings through various channels, including online portals and other accepted methods, ensuring all required documentation and payment forms are complete and accurate.

Practice & File Management

  • Support the day-to-day management of a lawyer’s intellectual property practice, including coordinating workflows and following up on outstanding tasks.
  • Assist with regulatory-related matters, including conducting searches and preparing related documentation for submission to relevant authorities.
  • Maintain and monitor docketing systems, ensuring deadlines are tracked and met, and that file data is accurate and up to date.
  • Communicate with intellectual property offices to address routine inquiries, status updates, and administrative matters.
  • Organize and maintain both electronic and physical files, ensuring all documentation is complete and accessible.
  • Open new files and maintain accurate client and matter records.
  • Coordinate schedules and priorities to ensure key deadlines are consistently met.

Administrative Support

  • Review prebills and liaise with billing teams to ensure accuracy prior to lawyer approval.
  • Manage client billing details, including adherence to specific billing guidelines.
  • Process expenses, disbursements, and incoming payments.
  • Provide backup support to colleagues and contribute to a collaborative team environment.

Additional Duties

  • Conduct intellectual property searches across various databases and retrieve relevant documentation as required.
  • Collaborate with team members, sharing knowledge and providing support where needed.
  • Assist with routine administrative tasks and special projects.
  • Perform other duties as assigned.

Candidate Profile

  • Legal Assistant diploma or equivalent education.
  • Minimum of five years’ experience in an Intellectual Property legal environment.
  • Strong understanding of intellectual property procedures and the ability to stay current with evolving regulations and practices.
  • Exceptional attention to detail and accuracy.
  • Excellent written and verbal communication skills, with the ability to interact effectively with clients, legal professionals, and external agencies.
  • Strong organizational and time management skills, with the ability to manage competing priorities and deadlines.
  • Proactive, adaptable, and solutions-oriented mindset.
  • Professional, reliable, and able to maintain a high level of confidentiality.
  • Client-service focused, with strong interpersonal awareness.
  • Comfortable working both independently and collaboratively.
  • Experience with IP management and document systems (e.g., docketing and document management platforms) is considered an asset.
