About the Role
We are seeking a highly organized, professional, and welcoming Part-Time Receptionist to serve as the first point of contact for our law firm. In addition to managing the front desk and routing communications, this role includes significant legal support responsibilities. You will work closely with our attorneys, paralegals, and legal interns to assist with case management, document preparation, and client intake.
Key Responsibilities
Front Desk & Administrative Operations:
- First Impressions: Greet clients, visitors, and vendors with a welcoming and professional demeanor.
- Communications: Answer and route incoming calls, take detailed messages, and manage the firm’s general email inbox.
- Scheduling: Schedule client appointments, schedule client meetings, depositions, and consultations.
- Office Management: Sort and distribute daily mail and deliveries, process outgoing mail, and ensure the reception area and conference rooms are tidy and well-stocked.
Legal & Litigation Support:
- Client Intake: Assist with initial prospective client screenings and gather preliminary case information.
- Document Management: Request, organize, and file medical records, police reports, and insurance documents.
- Drafting & Preparation: Assist interns and attorneys with drafting basic correspondence, standard discovery demands, and responses.
- Database Management: Input and maintain accurate client data, task lists, and calendar deadlines within the firm’s case management software (e.g., SmartAdvocate).
- Trial & Meeting Prep: Assist in compiling trial binders, organizing exhibits, and preparing materials for mediations and hearings.
Qualifications & Requirements
- Experience: Previous experience in a receptionist, administrative, or legal assistant role is preferred but not required.
- Language: Fluency in Spanish (speaking, reading, and writing) is strongly preferred to assist our Spanish-speaking clients.
- Skillset: Excellent communication (both verbal and written), strong organizational skills, and the ability to multitask effectively in a fast-paced environment.
- Technology: Proficiency in Microsoft Office (Word, Excel, Outlook). Familiarity with legal case management software such as SmartAdvocate is a strong plus.
- Attributes: A high degree of professionalism, empathy when dealing with clients who may be going through difficult times, and strict adherence to client confidentiality.
Compensation & Schedule
- Compensation: $20.00
- Schedule: Part-Time, 2-3 days per week for 14-21 hours.
Pay: From $20.00 per hour
