Robbins Schwartz is seeking a highly organized, detail-oriented Paralegal to support attorneys within their assigned practice area. This role provides both legal and administrative support, including assisting with litigation and administrative proceedings in federal and state courts, managing case files, conducting legal research, and supporting trial preparation. The ideal candidate will be professional, proactive, and comfortable managing multiple priorities in a fast-paced legal environment. This position works closely with attorneys and firm staff to ensure efficient case management and high-quality client service.
Essential Duties and Responsibilities
- Prepare correspondence, memoranda, pleadings, and other legal documents from written or oral drafts.
- Draft standard correspondence and routine legal documents.
- Open new client and matter files; maintain and organize active and closed files, including preparing files for storage or closure.
- Enter attorney time into the firm’s billing system; proof billing entries and review/edit invoices.
- Maintain attorney calendars, dockets, and contact information as needed.
- Maintain positive client relationships and observe strict attorney-client confidentiality.
- Assist with case preparation for trials, hearings, and administrative proceedings.
- Support attorneys with trial preparation, including exhibit organization and logistics.
- Copy, scan, Bates stamp, index discovery materials, and assist with copying and binding projects.
- Conduct legal research using Westlaw, including researching statutes, case law, and legal articles.
- Review and assist with discovery processes in litigation.
- Investigate and analyze facts and applicable law to support case development.
- Prepare and manage Excel spreadsheets and other tracking tools.
- Summarize deposition transcripts and hearing transcripts.
- Prepare and file documents with Circuit, Federal, and Appellate Courts.
Knowledge, Skills, and Abilities
- Excellent written and verbal communication skills required in a professional services environment.
- Strong proofreading skills with exceptional attention to grammatical, typographical, spelling, and formatting accuracy.
- Proficiency in Microsoft Office Suite, document management systems, and billing software (Juris experience a plus).
- Ability to organize, prioritize, and manage multiple tasks under time constraints.
- Ability to operate standard office equipment, including computers, copiers, scanners, and telephones.
- Strong interpersonal skills with the ability to communicate professionally and courteously with clients, attorneys, and staff in person, by phone, and via email.
- Demonstrated ability to follow instructions, work independently, and maintain confidentiality.
