We are seeking a full-time legal assistant to handle front-office administrative tasks and provide hands-on support for legal matters. The anticipated start date for this role is June 1st. In this role, you will welcome clients, answer and route calls, schedule appointments, oversee client profiles within our legal software, review and process monthly billing, maintain administration record-keeping, pay invoices, maintain team calendars, and maintain various spreadsheets. Additionally, you will manage mail, deliveries, and firm errands.
In addition to administrative tasks, you will also assist attorneys by drafting and reviewing documents, conducting due diligence and basic legal research, handling intake calls, and performing conflict checks. Participation in client meetings, consultations, and team meetings will be required.
To succeed in this role, you should exhibit excellent communication, organizational, and time-management skills, along with experience in general office administration. In this role, you must be comfortable discussing sensitive and emotional matters with clients when needed.

Primary responsibilities include:
Answer, route, and screen phone calls.
Gather client information for conflict checks and provide necessary details to attorneys.
Run monthly billing statements and ensure timely invoicing.
Attend client and team meetings; contact clients to schedule appointments.
Greet clients and visitors, determine the purpose of their visit, and provide assistance.
Manage client files (physical, electronic, and within legal software) and ensure proper organization.
Sort and distribute mail; manage office supplies and reorder when necessary.
Provide support by reminding the team of meetings, deadlines, and tasks.
Conduct basic legal research and assist attorneys with drafting and editing documents.
Perform firm errands, including going to the bank for check deposits and invoice payments.
Maintain firm records and ensure proper organization and filing.
Qualifications:
Associate degree or higher preferred – Education may be substituted for relevant experience.
Experience working in a fast-paced environment.
Excellent communication, organizational, and time-management skills.
Willingness to learn.
Strong grammar skills and proficiency with programs such as Microsoft Word, Excel, Outlook, and Adobe.
Salary Range: $42,500-$45,000.
