Role Purpose:

The Office Manager oversees all aspects of office operations, administrative functions, and facilities, ensuring that the Dubai office runs smoothly, efficiently, and in compliance with applicable regulatory and corporate policies.

Duties & Responsibilities:

Office Operations & Facilities

• Manage day-to-day operations: cleanliness, maintenance, facility upkeep.

• Liaise with building management, external vendors, and service providers.

• Oversee procurement of supplies, equipment, stationery, and ensure efficient vendor contracts.

Regulatory & Compliance

• Ensure office compliance with DIFC regulations, DFSA guides (if relevant), local labour laws, visa requirements, and health & safety standards.

• Handle license renewals, government-official filings, NOCs, DIFC portal submissions

Executive & Administrative Support

• Prepare reports, board packs, correspondence.

• Maintain confidential filing systems.

HR & Employee Relations Support

• Manage the DEWS portal according to DIFC requirements

• Oversee onboarding/offboarding, maintaining employee records (visa, ID, contracts), DIFC employment policy awareness.

• Organize internal events, team building, staff welfare initiatives.

• Assist in audits as needed.

Budget & Financial Controls

• Manage office budget: track expenses, approve invoices, oversee vendor payments.

• Cost-saving and efficiency improvements in operations

· Any other reasonable tasks as directed by your manager(s)

Skills & Experience:

Essential:

  • Minimum 4–6 years of office management / senior administrative experience
  • Prior exposure to financial services or a regulated environment within DIFC.
  • Experience with vendor contracts, budget management, HR coordination
  • Proficiency in MS Office (Word, Excel, Outlook, PowerPoint); good understanding of UAE labour law; regulatory portals.
  • Highly organised, able to multitask and prioritise under pressure.
  • Strong communication & interpersonal skills; high level of professionalism.
  • Discretion handling confidential information.
  • Proactive, problem-solver, team player

Desirable:

  • Familiarity with DIFC licensing, visa and permit processes.
  • Experience in international/multicultural teams.
  • Fluency in English; Arabic is an asset.
  • Knowledge of compliance, KYC/AML, or corporate secretarial tasks.
