Green Key Resources is partnering with a growing law firm in Washington, DC, seeking an Office Coordinator to support daily office operations, facilities management, conference services, and administrative functions. This position plays a critical role in ensuring a professional, organized, and client-focused office environment.
The ideal candidate will have prior law firm experience, strong organizational skills, and a customer-service-oriented approach to supporting attorneys, staff, clients, and visitors.
Responsibilities
- Coordinate day-to-day office operations, facilities requests, and maintenance issues.
- Manage conference room scheduling, meeting logistics, and videoconference coordination.
- Maintain inventory and ordering of office, kitchen, and facility supplies.
- Process invoices and coordinate with vendors and building management as needed.
- Handle incoming and outgoing mail, courier services, shipping, and package distribution.
- Coordinate catering orders, meeting setups, and hospitality services for internal and external meetings.
- Maintain the appearance and readiness of conference rooms, common areas, and client-facing spaces.
- Assist with records management, file organization, and offsite storage coordination.
- Coordinate visitor access and building security registration.
- Provide backup reception coverage, including answering and directing incoming calls.
- Assist attorneys and administrative leadership with special projects and operational initiatives.
- Support overall office administration efforts and contribute to a collaborative team environment.
Qualifications
- Minimum of 2 years of office coordination, office services, facilities, hospitality, or administrative experience within a law firm environment required.
- Strong knowledge of Microsoft Office Suite.
- Exceptional organizational skills and attention to detail.
- Excellent verbal and written communication skills.
- Ability to manage multiple priorities and meet deadlines in a fast-paced environment.
- Professional demeanor with strong client service and interpersonal skills.
- Ability to handle confidential and sensitive information with discretion.
- Hospitality, conference services, or facilities experience within a professional services environment is highly preferred.
- Experience working directly with attorneys and legal professionals is strongly preferred.
