We are seeking a highly motivated and compassionate Intake Specialist to be the first point of contact for prospective clients. You will play a vital role in evaluating potential cases, providing initial guidance, and ensuring clients feel heard and supported. What We’re Looking For:

An experienced Intake Specialist with 2-3 years’ experience in Employment Law.
A passion for advocating for clients in matters such as wrongful termination, discrimination, wage and hour disputes, and workplace harassment.
Exceptional communication skills.
A team player eager to collaborate and contribute to the firm’s continued success.

Key Responsibilities:

Serve as the primary point of contact for prospective clients, providing a welcoming and professional experience.
Conduct initial consultations to collect information about the prospective client’s employment-related issues, such as discrimination, harassment, wrongful termination, or wage disputes.
Accurately document client information and case details in the firm’s case management system.
Explain the firm’s services and intake process to prospective clients.
Monitor incoming leads via phone, email, and website inquiries, ensuring timely responses to all potential clients.
Schedule consultations with attorneys and confirm appointments using case management software.
Follow up with prospective clients to obtain additional information or documentation as needed.
Track missed consultations and assist in rescheduling as necessary.
Assist Attorneys by conducting preliminary evaluations of potential cases to determine if they align with the firm’s practice areas and criteria.
Review client-provided evidence, such as employment documents or correspondence, and categorize it for further attorney review.
Ensure all necessary information is collected and documented to support the attorney’s decision-making process.
Accurately enter and update client data in the firm’s case management and CRM systems.
Maintain detailed records of all communications and follow-up actions in accordance with firm protocols.
Generate reports on lead conversion rates, missed consultations, and follow-up outcomes as requested.
Work closely with Attorneys, Paralegals, and other team members to ensure a smooth transition of viable cases from intake to Litigation Team.
Provide feedback to the Founding Partner, Intake Attorney and Chief Operating Officer on lead quality and trends to improve client acquisition strategies.
Participate in team meetings and training sessions to stay informed about firm policies, procedures, and updates.

Qualifications:

1-3 years of experience in client-facing roles, such as legal intake, customer service, or sales, preferably in a law firm or legal environment.
Knowledge of labor and employment laws, the California Labor Code, and state-specific regulations.
Ability to manage multiple priorities and meet deadlines in a fast-paced environment.
High ethical standards and a commitment to professional responsibility.
Strong interpersonal skills, with the ability to build trust and rapport with clients and colleagues. A proactive and self-motivated attitude with a passion for advocating for workplace fairness.
Excellent verbal and written communication skills.
Strong organizational skills and attention to detail.
Proficiency in case management software (e.g., Clio, Lawmatics) and CRM tools.
Ability to handle sensitive information with the highest level of confidentiality and professionalism.
