Position Purpose

Provides a full range of legal and administrative support to the Legal Services Office including, but not limited to, contracts, student appeals, grievance administration, public access to records, Title IX compliance, and responses to interrogatories.

ESSENTIAL JOB FUNCTIONS

Legal Matters

Drafts a variety of legal documents, including answers, motions, discovery responses and requests, briefs, and routine correspondence.
Performs legal research using the department’s online research tools and interprets/prepares summaries of applicable case law.
Searches court records for recent activity and confirmation of guardianship and possessory rights of parents in campus matters involving access to students and student records.
Prepares briefs and motions in final format, including automating Tables of Contents (TOC) and Tables of Authorities (TOA).
Conducts routine inquiries and facilitates the collection of documents, including locating employees with relevant documents/information and scheduling attorney interviews as needed.
Participates in the Title IX Complaint process; provides legal support to the Title IX Decision-maker and Appeals Officer in collection, review, and organization of evidence and drafting preliminary responses.
Collaborates to gather evidence and records from other departments and external entities.
Analyzes and prepares summaries of records reviewed.
Completes substantive legal work that requires knowledge of legal concepts including maintains legal records/files, reviews and prepares material for storage or disposal once a matter is closed.

Other Functions

Records and maintains attorney calendars including scheduling of meetings.
Dockets all internal grievances/appeals and external complaints for tracking deadlines and due dates, including preparation of routine documents such as closing memos and other legal filings.
Creates and maintains electronic records/files in a centralized database and prepares statistical reports based on cases and issues.
Monitors assignments to outside counsel and assists in facilitating communication between outside counsel and internal department liaisons.

Safety

Follows established safety procedures and techniques to perform job duties including lifting and climbing; operates tools and equipment according to established safety procedures.
Corrects unsafe conditions in work area and promptly reports any conditions that are not immediately correctable to supervisor.

Knowledge, Skills & Abilities

Knowledge of online legal research tools such as Westlaw or LexisNexis.
Knowledge of legal research procedures and legal resources of the federal, state, and local courts systems in Tarrant County and the State of Texas.
Knowledge of general and education employment law and hearing procedures.
Knowledge of records administration and maintenance techniques and procedures.
Skill in researching and writing with a strong knowledge of legal correspondence formatting, including language, grammar, and punctuation.
Skill in using logic and reasoning to identify the strengths and weaknesses of alternative solutions, conclusions, or approaches to problems.
Skill at the intermediate level, working with Microsoft Office 365, especially Outlook, PowerPoint, and Word.
Skill in interpersonal relationships, including using tact, patience, and courtesy.
Ability to handle difficult and stressful situations with professional composure.
Ability to exercise discretion regarding matters of a sensitive or confidential nature.
Ability to read and interpret documents such as law, policy, and procedures.
Ability to prepare and maintain accurate and auditable records, files, and reports.
Ability to process and handle confidential information with discretion.
Ability to use software to access databases, email, create spreadsheets, and do word processing.
Ability to organize and coordinate work, including maintaining attention to details and quality, and prioritize work while meeting multiple deadlines, often changing assignment on short notice.
Ability to communicate effectively, both oral and written form including legal writing and research using appropriate citations.

Travel Requirements

Travels to school district buildings and professional meetings as required.

Physical & Mental Demands, Work Hazards

Tools/Equipment Used: Standard office equipment, including computer and peripherals.
Posture: Prolonged sitting and standing; occasional stooping, squatting, kneeling, bending, pushing/pulling, and twisting.
Motion: Frequent repetitive hand motions, including keyboarding and use of mouse; occasional reaching.
Lifting: Occasional light lifting and carrying (less than 15 pounds).
Environment: Works in an office; occasionally requires irregular and/or prolonged hours.
Attendance: Regular and punctual attendance at the worksite is required for this position.
Mental Demands: Maintains emotional control under stress; works with frequent interruptions.

Minimum Required Qualifications

Education: (See approved combinations of Education & Experience below)
Associate’s degree from accredited college or university required;
Bachelor’s degree from accredited college or university preferred.
Certification/License: Paralegal Certification preferred.
Experience: (See approved combinations of Education & Experience below)
4-7 years’ paralegal experience required;
Experience in public sector environment preferred.
