Job Summary
We are seeking a dedicated and proactive Customer Care Coordinator to join our team. This role is essential in providing exceptional customer service and support to our clients while ensuring compliance with Fair Housing regulations and real estate law. The ideal candidate will possess strong administrative skills, be able to communicate effectively via phone and email, and demonstrate a passion for helping others in the real estate market. This is not a sales role; this person’s position is to support our team of Real Estate Agents and elevate the clients’ experience working with our team. This job will be in-person at our Stowe office with occasional days at our South Burlington location.
Job Description
Transaction Management
Act as main point of contact for all clients, co-op agents, attorneys, lenders, and unrepresented parties throughout entire contract to close period
Check contract files for compliance and communicate necessary updates to agents
Upload all compliance documents to compliance portal
Communicate commission information to market center
Send welcome email to all parties with contract documents in a timely manner
Coordinate inspections, moving times, other vendor dates as needed
Update transaction calendars as information changes
Update compliance portal as information changes
Send weekly email updates to Agent; enlist agent in a timely manner if negotiation is needed
Create commission statement and send to attorneys two weeks ahead of closing
Keep track of closings and follow up with agents to receive closing documents
Referral asks and review requests post-closing via email template
Upload closing documents in compliance portal and organize closings
Track all transactions from Under Contract to Post-Closing
Update systems and processes as needed
Listing Management
Track all upcoming and active listings
Collect listing documents via phone/email requests to Town Clerks
Check files for compliance and communicate necessary updates to agents
Coordinate listing timeline with Listing Agent
Assist with scheduling photos and pre-listing inspections
Draft listings in MLS
Database Management
Answer all team line telephone calls during business hours and direct inquiries to appropriate source
Update client records in CRM when clients go under contract
Changing status, add transaction details and custom fields, start action plans
Update client records in CRM when transactions close/terminate
Initiate post-closing plan and client follow up
Marketing
Build vendor relationships by inviting them to contribute to our monthly newsletters
Draft monthly newsletter articles and complete newsletter by the end of the first full week of the month
Create multiple marketing lists and content specific to groups of clientele/referral agents
Build “Just Listed” and “Just Sold” postcards and distribute via mail service
Create open house marketing materials
Create social media graphics for new listings, team events and disperse Coming Soon / Just Listed messages to brokerage
Maintain YouTube channel and upload regular videos as received by Photographer
Qualifications
Real Estate License or obtain Real Estate License within six (6) months of hire
Familiarity with real estate compliance software including Dotloop and Command
Familiarity with sales CRMs, preferably Follow Up Boss
Familiarity with the Multiple Listing Service (MLS) as an administrator
Strong interpersonal and communication skills
Strong ability to set and meet deadlines
Comfort with regular phone calls
High level of organizational skills
Comfortable working in a dynamic team environment
Job Type: Full-time
Pay: $48,000.00 – $60,000.00 per year
