About Us:

We are a dynamic home-building company specializing in new construction in Seattle. We’re seeking a Part-Time Administrative Operations Specialist to provide top-level administrative and operational support to help ensure a smooth day-to-day operation in the real estate side of the business. This role offers a variety of tasks, including managing legal documents, handling correspondence, organizing ongoing matters, and supporting team members to keep everything running efficiently.

What You’ll Do:

Document & File Management: Organize and maintain important documents, including contracts/bids, reports, emails, legal paperwork, and other operational records. Ensure timely follow-ups and maintain an organized system for easy access.
Task & Deadline Management: Track deadlines, ensuring that tasks are completed on time. Provide follow-up support to ensure projects and all matters are moving forward efficiently.
Email & Correspondence Management: Assist with managing and organizing emails, handling important communications, and drafting responses as needed.
Support Legal & Compliance Matters: Help track ongoing legal matters, insurance claims, and other sensitive business issues, ensuring deadlines and follow-ups are met.
Operational Support: Assist in overseeing multiple ongoing matters within the real estate operations. Provide support to ensure that business operations remain seamless.
Project Coordination: Coordinate between team members, vendors, or contractors to ensure timely completion of tasks, projects, and deliverables.
Confidential & Sensitive Information: Handle sensitive business documents with discretion and ensure accurate organization and confidentiality at all times.

Qualifications:

Experience in Administrative experience support, operations, or a related field (real estate, property management, or legal experience is a plus).
Strong organizational skills with the ability to manage multiple tasks and deadlines effectively.
Detail-oriented and proactive, able to stay ahead of ongoing matters and anticipate needs before they arise.
Excellent written and verbal communication skills, with the ability to manage follow-ups and maintain clear, professional communication.
Comfortable handling sensitive and confidential information with discretion.
Proficiency with document management systems and basic software (Microsoft Office Suite, Google Drive, etc.).
Familiarity with legal and insurance processes is a bonus.
Prior experience in real estate, construction, or development is highly preferred.
Strong problem-solving abilities and a proactive mindset.
