Phelps Dunbar LLP is an AmLaw 200 full-service law firm. The office services coordinator performs and maintains the daily tasks for the Office Services & Facilities department while adhering to specific policies and procedures. This position will assist and report to the Office Manager of the Tampa office.
Essential Duties and Responsibilities:
Provide excellent service to attorneys, management, staff and other professionals.
AV support and back-up with AV tasks – firm wide.
Supervise and perform core office services tasks such as making copies, scanning, binding, and printing.
Perform computer tasks such as saving files to storage media, copying storage media, downloading, uploading, converting or extracting, and labeling files.
Other small handyman duties such as hanging pictures, minor furniture repair or assembly.
Ensures the daily mail/fax room operations to ensure a high level of service is maintained.
Sort and deliver mail to the office.
Receive, log and deliver UPS, FedEx, DHL and other courier packages to the intended recipients.
Assist users with mailing and shipping, including preparation, packing and posting.
Assist users with shipping (USPS, UPS Campus Ship, and Federal Express) questions.
Track and solve issues with overnight and courier packages.
Ensure appropriate mail room logs for mail, fax, etc. are kept up-to-date and organized, and reports run in a timely manner.
Coordinate work of Office Services Clerks for daily supply orders, and upkeep of stock levels in copy and office/paper supply rooms.
Provide back-up hospitality assistance such as preparing drinks and food for conferences, and events as well as clean-up and other kitchen tasks.
Occasionally assists with moving furniture.
Hand deliveries to the courthouse and around downtown.
Coordinating repairs of copy machines, printers and other office equipment, and
replacing consumable items in printers and other equipment, and clearing printer jams.
Perform new user orientation related to Facilities services (i.e.; UPS/FedEx, Office Services Intranet, Phone, First Aid, Fire Procedures, etc.)
Act as backup for the ordering of medical supplies, business cards, and letterhead.
Act as backup to setup users in the UPS & FedEx web sites. Assist users with questions and troubleshooting regarding the website. Handle staff reimbursements for personal charges for UPS/FedEx.
Handle other projects and tasks as assigned by the Director of Office Services & Facilities, and Manager of Office Services.
Education and Experience Required:
Minimum of a high school diploma or GED is required and a minimum of 3-4 years’ experience preferably within a legal environment, or in an office services position.
Qualifications and Skills Required:
Ability to lift 30 – 40 pound boxes routinely.
Ability to accurately type 35 words per minute.
Attention to detail, proofreading and filing aptitude.
Ability to meet deadlines and prioritize work in a high volume, service-oriented environment.
Ability to work with Video Conferencing and scheduling software products.
Excellent verbal and written communication skills.
Excellent organizational skills.
Computer literacy, including proficiency in Microsoft Outlook, Word, and Excel.
Some experience in Access preferred.
