Job Summary
CLASS SUMMARY
This position is responsible for training and supervising staff, planning, implementing, and managing various problem-solving courts. The essential function of the position is to provide assistance to the judiciary, the Senior Court Operations Consultant and the Program Coordinator through case monitoring, program implementation, data collection and reporting, funding and budgetary support, and maintaining databases as needed. The essential function of the position is to manage the daily operations by providing information to litigants and trial court staff, reviewing case files, making referrals to community-based services, managing and preparing cases for court hearings and briefing judges, attending hearings, and other trial court proceedings, maintaining record/filing system, scheduling hearings, and performing related administrative support functions such as approving and reviewing invoices for payment. The position works under the direct supervision of the Program Coordinator. Work performance is reviewed through reports, conferences, and results achieved.
Essential Job Functions
ESSENTIAL DUTIES

Prepares and maintains court dockets; attends court hearings, conducts pre-staffing
with team members, takes notes during court and prepares/composes appropriate
orders based on rulings, and providing information to the court as needed; research
statutes and rules; and applies basic accounting methods.

Assists in directing and supervising staff, including organizing, recommending selection, training, assigning and evaluating work, counseling, and recommending termination.

Organizes, updates and maintains case files in an in-house database filing system,
upload documents pertaining to each case and drug test results daily, track the status of each case and provide updates to the team to determine if further action is needed.

Monitors and determines case status and schedules hearings; determines whether to
set a case for status review, observation, and/or plea or another appropriate hearing
and prepares appropriate court orders and/or correspondence for all court
proceedings.

Assists the Program Coordinator with applying and managing funding requests and approvals to assist clients struggling to meet the financial requirements of the program.

Monitors standards of practice to ensure consistency and fidelity of Adult Best Practice Standards model, establishes good working relationships with judges, court personnel, and professionals associated with the court, and assists in monitoring grant funds related to problem-solving court programs.

Meets with clients in person, by telephone, and via correspondence; completes an
orientation to explain all program requirements, conducts ORAS risk/need
assessments to determine program eligibility, makes referrals to appropriate
community-based services and follows up regularly with clients on wrap around
services and program compliance.

Communicates daily with clients to ensure program requirements are being met,
with attorneys to provide proper information and paperwork regarding their client’s case and with other circuits to facilitate a transfer of a case providing all necessary documentation.

Managing and preparing cases for court. Collecting and reporting case/ program
data, maintaining databases as needed and preparing orders.

Updates participant handbooks, pamphlets/information for the participants and
policy and procedure manuals for the team with current accurate information for
problem-solving courts.

Assists in a variety of administrative duties including preparing statistical
information to the Program Coordinator to ensure overall program success for
problem-solving courts.

Trains and provides continuing information and assistance to co-workers as needed;
reviews work as needed; and provides information to other agencies as requested.

Assists with administration and meeting deliverables of state and federal grants,
including, but not limited to data collection, invoice processing and financial
reporting.

Maintains daily, monthly, and yearly statistics regarding volume and types of cases
handled by program; or creates and maintains record systems for efficient case
management.

Attends and/or conducts staff and other professional meetings and conferences to
exchange information for problem-solving courts.

skills for problem-solving courts.

Qualifications
MINIMUM EDUCATION AND EXPERIENCE GUIDELINES

Bachelor’s degree in legal studies, paralegal, business administration, business management, social work, or a closely related field.
Experience

Additional relevant education may substitute for the recommended experience on a year-for- year basis, excluding supervisory experience.
Four years of related work experience.
