SUMMARY
The ideal candidate will support attorneys with case preparation and legal administrative tasks, particularly in areas involving arbitration case management, preparing legal papers and correspondence, discovery, and subpoena coordination. This role requires strong organizational skills, a high level of accuracy, and the ability to manage multiple tasks efficiently in a fast-paced legal environment.
ESSENTIAL DUTIES AND RESPONSIBILITIES include the following, other duties may be assigned.
Assist with Supplemental Discovery, including drafting and serving interrogatories, requests for production, and other discovery documents.
Draft and submit for service Custodian of Records (COR) Subpoenas, ensuring proper service and documentation is received.
Manage and process Negative Equity Subpoenas, tracking responses and ensuring timely follow-up.
Provide comprehensive arbitration case management, tracking key dates and ensuring deadlines are met.
File and serve arbitration related documents.
Prepare and organize Arbitration Binders, including complete Exhibit Binders for hearings.
Coordinate with attorneys to ensure all Arbitration deadlines are met.
Calendar arbitration deadlines, schedule court reporters, and maintain internal trackers.
Coordinate and schedule client depositions, expert depositions, PMQ (Person Most Qualified) depositions, and vehicle inspections, ensuring all logistical details are confirmed.
Communicate with clients and experts regarding upcoming arbitrations, depositions, and vehicle inspections.
Draft and revise arbitration-related documents, including demands, notices, Exhibit Lists, and Witness Lists
Maintain and update internal systems such as Salesforce with case details, deadlines, and documentation.
Organize and manage case files and legal documents for easy access and review
Provide additional administrative support to attorneys and legal staff as needed.
Communicate with arbitrator’s office, arbitration case manager and opposing counsel.
QUALITIES/SKILLS needed to successfully perform job duties and responsibilities.
Bachelor’s Degree/Paralegal Certificate, preferred
Minimum 2 years of experience as a Legal Assistant, preferably in arbitration or civil litigation.
Familiarity with deposition procedures, subpoena service, and arbitration processes, is a plus.
Attention to detail is of paramount importance.
Must possess excellent communication skills, verbal and written, as well as excellent active listening skills.
Strong organizational and time management skills.
Proficient in Microsoft Office Suite; ability to quickly learn and become proficient in Firm Client Database.
Salesforce experience preferred
Ability to multitask, prioritize, think critically and work under pressure with confidential material.
WORK ENVIRONMENT
While performing the duties of this job, the employee is frequently exposed to general office conditions. The noise level in the work environment is usually moderate to low.
