Position Overview
The Regional Office Administrator (ROA) is responsible for general administration and daily operations of multiple offices. The position will be responsible for people management of the following departments including reception, general services, legal secretaries, and office coordinators. The ROA will partner with the Regional Director of Administration and Office Managing Partner(s) on any office related issues. Additionally, this role will liaison with all business services departments.

Responsibilities
Manage overall office operations, including staffing, onboarding new employees, and provide administrative leadership to obtain office goals.
Manage and resolve problems as they arise.
Foster positive relationships with attorneys and staff, assist with attorney onboarding and work with leadership across the firm to implement new firm strategies and efficiencies.
Supervise daily or weekly tasks and deliverables for general services clerks, receptionists, and other legal support staff. Ensure expectations around attendance, workplace behavior and working relationships are met and provide feedback to address any gaps.
Collaborate with firm management to implement and communicate firm policies and procedures; recommend and implement policies, procedures, and strategies to maximize operational efficiency.
Oversee day-to-day facilities management, including maintenance and repair, space planning; maintain relationships with the landlord, building management, and parking garages.
Coordinate with the Office Managing Partner(s) to provide management support in the areas of attorney recruiting, retention, client billing.
Manage legal secretary assignments and ratios to ensure attorneys receive adequate administrative support, manage PTO requests and back-up coverage, approve timecards and follow up with any issues identified in work hours, workload, or timecard practices.
Responsible for legal support, general services, and reception staff assignments, addressing problems or complaints, interviewing, hiring, onboarding, and training.
Identify performance strengths and weaknesses and provide feedback. Responsible for completing Touchstone meetings to document performance.
Identify technical abilities/skills weaknesses and determine training needs. Rely on input from attorneys or internal clients as needed.
Work with Regional HR Business Partner to address and document performance issues.
In conjunction with HR and senior leadership, update job descriptions as staff roles evolve and change over time.
Establish and maintain successful working relationships with attorneys, OMP(s) and Regional Director of Administration to provide best resources to meet firm and client needs.
Partner with Office Coordinator(s) in event planning activities
Assist with office moves and build-outs, within assigned region in partnership with Regional Director of Administration and Global Facilities Director.
Assist the firm with special projects as assigned.
Essential Job Specifications/Qualifications
Strong relationship building, decision-making, problem-solving and organization skills
Ability to handle confidential information in a professional manner
Ability to staff, anticipate, and identify problems/issues and recommend and implement alternative courses of action
Excellent communication and interpersonal skills
Strong, effective time-management and sense of urgency
Proficiency with various computer software applications (including Microsoft Word, PowerPoint, and Excel)
Must maintain a valid, current driver’s license
Travel
This position requires the ability to travel up to 30%.

Education/Experience/Certifications
Bachelor’s Degree in Business or related field preferred
3+ years supervisory experience required
5-7 years of experience with a law firm or other professional services firm strongly preferred

Pursuant to the New York pay transparency laws, BCLP is posting a reasonable estimate of a compensation range for this position. At the time of posting, the estimated New York range is $160,000 to $200,000. Actual compensation will be influenced by various factors, including but not limited to the level of relevant experience, skill sets, training, licensure and certifications, internal equity, market data, and other job-related factors permitted by law. The range is based on a full-time work schedule. Additional compensation may include an annual discretionary bonus.
