We are seeking a detail-oriented and customer-focused Front Desk Legal Assistant / Receptionist to join our team at Justice Law. As the first point of contact for our clients, you will play a crucial role in ensuring smooth day-to-day operations at our law office. You will be responsible for managing client communications, handling administrative tasks, and assisting with legal documentation processes.
Key Responsibilities:
Front Desk Management: Greet and assist clients, visitors, and phone inquiries in a professional and friendly manner.
Client Communication: Serve as the primary point of contact for clients, providing information and updates on their cases.
Appointment Scheduling: Coordinate and schedule client appointments, meetings, and consultations for attorneys.
Document Management: Organize and maintain client files, ensuring that documents are properly filed and easily accessible.
Data Entry & Record Keeping: Enter client information, treatment updates, and case progress into the system accurately and promptly.
Legal Correspondence: Draft and send routine letters, emails, and legal documents under the direction of the attorney.
Administrative Support: Assist attorney with clerical tasks, including file organization, case preparation, and other ad hoc administrative duties.
Core Skills & Attributes:
Fluency in Spanish: Ability to communicate clearly and effectively in both Spanish and English is highly preferred to assist with diverse clientele.
Customer Service Experience: Previous experience in a client-facing or customer service role with a focus on providing excellent service.
Strong Communication Skills: Ability to handle sensitive situations with professionalism and confidentiality, both in-person and over the phone.
Attention to Detail: Strong organizational skills and meticulous attention to detail, particularly when handling sensitive legal documents.
Multitasking Ability: Able to juggle multiple tasks efficiently while maintaining a calm and organized workspace and meet deadlines.
Tech-Savvy: Comfortable using legal management software, Microsoft Office Suite, and other standard office tools.
Professionalism: Self-motivated, positive, professional, discreet, and able to maintain confidentiality.
Qualifications:
Three years in office or customer service roles, or equivalent education. Prior experience in a legal setting or familiarity with legal terminology and processes is a plus but not required.
