Overview

This is a hybrid role (remote Monday/Friday, in office Tuesday – Thursday).

This role supports the Legal Operations function within the corporate legal department of a financial institution. This position combines technical expertise in managing the CounselLink e-billing and matter management system with paralegal-level administrative support for attorney focused on legal operations. Work involves operational efficiency, ensuring accuracy of legal spend tracking, law firm compliance with FCB’s Outside Counsel Guidelines, and seamless workflows across internal teams and outside counsel. The position reports to the Head of Legal Operations and works collaboratively in a growing team. Ideal for someone with legal e-billing experience seeking to diversify their role and gain exposure to legal operations.

Responsibilities

CounselLink System Administration
Serve as primary administrator and subject matter expert for the CounselLink platform
Manage user access, roles, permissions, and workflow configurations
Maintain system settings, templates, custom fields, and integrations with financial or procurement systems
Troubleshoot issues and coordinate with LexisNexis support as needed
Oversee end-to-end invoice review workflows, including routing, approvals, allocations, and escalation paths
Collaborate with finance to reconcile data and provide timely invoice and accruals reporting
Monitor budgets, accruals and matter assignments
Maintain data integrity through quality checks and overall system performance evaluations
Train internal users and outside counsel on system basics and requirements
Develop training materials and reference guides

Paralegal and Administrative Support
Ensure compliance with billing guidelines and flag exceptions and inconsistencies
Generate reports on vendor performance, billing trends, and compliance metrics
Assist with onboarding legal department vendors and outside counsel in the system
Support vendor rationalization and rate review initiatives with document coordination and tracking
Prepare and maintain project trackers and materials for legal leadership meetings
Assist with other duties as assigned
Support ad hoc requests and executive reporting needs in Excel or PPT
Knowledge share with internal teams in a continuous growth mindset using a One Team approach
Act as the liaison between Legal, Accounting, FP&A and IT for CounselLink related processes

Qualifications

Bachelor’s Degree and 1 years of experience in Financial Services, Paralegal, Legal Assistant, e-billing or Legal Operations OR High School Diploma or GED and 5 years of experience in Financial Services, Paralegal, Legal Assistant, e-billing or Legal Operations

Additional Qualifications:

2 to 5 years of experience in hands-on CounselLink ebilling administration
Ability to work collaboratively in a highly visible customer service role
Professional communication skills (oral and written)
Comfortable with numbers and telling the story of financial data
Detail oriented, tech-savvy, and organized
Ability to multi-task and prioritize accordingly
Capable of handling tasks and seeing the bigger picture of legal dept. operations
Understanding of legal billing, matter management, and outside counsel guidelines
Strong Excel and reporting skills (experience with analytics tools a plus)
Strong PPT skills (Tableau and PowerBi a plus)
License or Certification Type: Certificate of completion from an ABA-approved paralegal certification program (a plus but not required)
