About Us:

We are seeking a detail-oriented and resourceful Office Administrator/Bookkeeper to handle a diverse range of administrative, financial, and HR duties.

Key Responsibilities:

Banking & Accounting:

Manage accounts payable and receivable, including bill payments, invoicing, and expense tracking.

Reconcile bank accounts and monitor cash flow to ensure financial accuracy.

Assist with preparing monthly, quarterly, and annual financial reports.

Collaborate with the firm’s CPA and banking institutions on tax-related matters and year-end audits.

Human Resources:

Oversee employee onboarding, including processing new hire paperwork and benefits enrollment.

Maintain and update employee records in compliance with legal requirements.

Manage payroll processing, timekeeping, and PTO tracking.

Support recruitment efforts, including scheduling interviews and posting job openings.

Administrative Support:

Assist with calendaring and scheduling for firm leadership.

Maintain vendor relationships and oversee office supply inventory.

Coordinate with IT support to ensure smooth office operations.

Monitor compliance with legal and regulatory obligations (e.g., CLE tracking, firm certifications).

Other Duties:

Prepare internal and external communications such as memos and emails.

Organize and file important documentation (physical and digital).

Assist with event planning for firm gatherings, conferences, and client meetings.

Support attorneys and paralegals with special projects as needed.

Qualifications:

Education: Bachelor’s degree in business administration, accounting, or a related field preferred, or equivalent experience.

Experience: 2+ years of experience in a similar administrative, accounting, or HR role (experience in a law firm is a plus).

Skills:

Proficiency in QuickBooks, Microsoft Office Suite, and payroll software.

Strong understanding of accounting principles and HR best practices.

Exceptional organizational skills and attention to detail.

Ability to handle sensitive information with confidentiality and professionalism.
