Job Title: Legal Assistant
Reports to: Lead Defense Attorney
Classification: Full-time, nonexempt

Essential Job Functions

Assisting attorney with case management, court filings, and general administrative duties by organizing documents and evidence
Drafting and proofreading legal documents, such as pleadings, motions, and correspondence
Maintaining and updating client files both in office and virtual
Coordinating with clients, witnesses, and outside vendors for meetings and trial preparation
Scheduling court hearings, depositions, and other legal proceedings
Filing legal documents with the court and ensuring compliance with legal procedures
Managing attorney calendars and appointments
Handling client inquiries and providing updates on case status
Assisting with the billing and invoicing process
Performing administrative tasks such as copying, faxing, and mail management
Supporting the development and implementation of office policies and procedures

Minimum Qualifications

High School Diploma or equivalent required; Associate’s degree preferred.
At least three (3) years of previous experience working in a law firm or state agency as a legal assistant or paralegal
Must successfully pass a pre-employment background check and drug screening.

Knowledge, Skills, and Abilities

Familiarity with legal terminology and processes
Proficiency in legal research tools and software, specifically in MyCase and LexisNexis
Proficient in Florida’s electronic case filing system (Florida Court’s E-Filing Site) and local county clerks of court docketing systems or the ability to become proficient
Excellent written and verbal communication skills and the ability to self-prioritize
Strong organizational and multitasking abilities
Attention to detail and accuracy
Ability to work independently and as part of a team
Experience with case management software
Strong interpersonal skills
Proficiency in Microsoft Office Suite
Strong typing and data entry skills
Ability to maintain confidentiality and handle sensitive information
Excellent time management skills
Basic understanding of legal documents and court procedures
Strong analytical and problem-solving skills
Ability to work under pressure and meet deadlines

Working Conditions

Work primarily indoors in a modern, smoke-free office environment.
Moderate noise levels and comfortable temperature settings.

Physical Requirements

Climbing/Balancing: Ability to climb stairs or ladders and maintain balance while performing tasks.
Crawling: Ability to crawl as necessary to complete tasks.
Crouching/Kneeling: Ability to crouch or kneel to complete assigned tasks.
Grasping/Handling: Ability to handle and manipulate objects to perform tasks.
Hearing: Ability to communicate clearly and understand spoken information.
Lifting: Ability to lift up to 10 pounds occasionally.
Pushing/Pulling: Ability to push or pull objects up to 10 pounds as needed.
Sitting: Ability to sit for extended periods (approximately 60% of the time).
Speaking: Ability to speak clearly and communicate effectively.
Standing: Ability to stand for extended periods (approximately 25% of the time).
Stooping: Ability to bend or stoop to complete various tasks.
Visual Acuity: Sufficient vision to operate vehicles, office equipment, and perform tasks.
Walking: Ability to walk between workstations and assist the public as needed (approximately 15% of the time).
