GENERAL SUMMARY

Performs clerical duties for various County departments, which includes County Clerk, Public Works, District Clerk, County Tax Collector, Texas Department of Public Safety and Records Management.

ESSENTIAL DUTIES & RESPONSIBILITIES

The intent of this job description is to provide a representative summary of the major duties and responsibilities performed by incumbents of this job. Employees may be requested to perform job-related tasks other than those specifically presented in this description.

Assists in the day-to-day department processes and procedures.
Performs specialized clerical work.
Receives and responds to inquiries via telephone, fax and in person.
Answer phones and cover Front Desk when nececcary
Receives, researches and processes incoming invoices.
Initiates and processes maintenance requisitions, purchase orders, complaints and work orders.
Oversees Schools/Conferences-Judge & Commissioners-reserve rooms, registration forms, make folders for each Commissioner/Judge with agenda for conference, room confirmation & map
Scans and images documents as required and proofs data entry of documents.
Indexes data from recorded documents into databases.
Ensures that the information indexed is accurate and aids the public with searching and locating all related documents.
Attends various department meetings.
Schedule rooms in Courthouse for meeting.
Prepare plaques.
Process Mental Health Payments.
Publish Legal Notices.
Order all Office Supplies
Process and Pay Bills.
Assist Budget Coordinator during Budget Time.
Type thank you, congratulations & appointment letters per Commissioners Court approval on Agenda Items.
Assist with Proofreading Commissioners Court Minutes for County Clerk
Assist with Preparation of Commissioners Court Agenda
Maintain all Johnson County Boards and Appointments as approved by Commissioners Court
Indigent Burials; interview families, collect documentation and process applications; work with funeral homes and directors
Historical Commission: post agenda, calendar and minutes and mail for monthly meeting
Prepare certificates and proclamations for presentation at Commissioners Court
Any other task or miscellaneous projects.

MINIMUM QUALIFICATIONS

Education and Experience

High School diploma or equivalent, with 1 to 3 years related experience. Combination of education and experience sufficient to successfully perform the essential functions listed above can be substituted.

KNOWLEDGE, SKILLS, and ABILITIES

Read, analyze, and interpret standards, policies, procedures, and regulations
Develop and write reports, policies, and correspondence
Handle common inquiries or complaints
Effectively present information and respond to questions from local citizens, visitors and personnel.
Exercise good judgment and focus on detail as required by the job
Operate standard office equipment, such as computer keyboards and monitors, copiers, scanners, and telephone
Use (or learn to use) computer software and systems applicable to the position
Follow oral and written instructions and procedures
Maintain well-organized materials, files, systems and tools
Work independently
Establish and maintain constructive and cooperative interpersonal relationships with staff, peers, supervisors, or managers in the work unit and other departments, as well as with staff of outside entities and other individuals, as applicable to the essential duties and responsibilities
