As a Client Intake Specialist, you will be responsible for efficiently and accurately gathering essential information from potential clients to initiate the intake process. Your role is crucial in establishing a positive and professional first impression of Coastal Claims. You will work closely with the other departments, third parties and adjusters in the field.
Key Responsibilities:
Client Communication: Initiate contact with potential clients via phone, email, or in-person to collect relevant information about their needs, concerns, and requirements. Display excellent communication skills to listen to their inquiries and provide appropriate responses actively.
Data Collection: Accurately record all necessary details obtained during client interactions, such as personal information, contact details, nature of the inquiry, and any other pertinent data.
Document Processing: Ensure all client intake forms, questionnaires, and documentation are completed thoroughly and accurately. Verify that all mandatory fields are filled, and any additional information is appropriately captured.
Qualification and Triage: Assess potential clients’ needs and determine whether they meet the organization’s criteria for services or products. If necessary, direct clients to the relevant department or individual for additional assistance.
Information Accuracy: Verify the accuracy of information provided by potential clients, checking for potential discrepancies and resolving any issues promptly.
Problem Solving: Address client concerns and challenges effectively, providing timely and appropriate solutions or escalating issues to the relevant team members if necessary.
Compliance: Ensure compliance with legal and regulatory requirements related to client intake, data protection, and confidentiality.
Client Relationship Management: Develop a rapport with potential clients to build trust and create a positive experience during the intake process. Maintain professionalism and empathy while interacting with clients.
Performance Reporting: Maintain records and generate reports on client intake metrics, highlighting any patterns, trends, or areas for improvement.
Process Improvement: Continuously seek opportunities to enhance the client intake process and suggest improvements to streamline operations and enhance overall client experience.
Requirements:
Proven experience in a customer service, sales, or client-facing role.
Excellent verbal and written communication skills.
Strong attention to detail and ability to maintain accurate records.
Empathetic and patient demeanor to handle potential clients’ inquiries and concerns.
Ability to multitask and manage time effectively in a fast-paced environment.
Knowledge of relevant software applications and tools for data entry and documentation.
Familiarity with legal or regulatory compliance related to client intake (depending on the industry).
Strong problem-solving skills and the ability to make informed decisions.
Job Type: Full-time
Pay: $15.00 – $17.00 per hour
Expected hours: 40 per week
