XB Consultants is delighted to be partnering with a prestigious international law firm to recruit an experienced Legal Team Assistant for its Munich office.
This is an excellent opportunity for a highly organised legal support professional who enjoys working in a fast-paced, collaborative environment. Supporting senior lawyers across multiple practice areas, you will play a key role in ensuring the smooth day-to-day running of the team by providing high-quality administrative, organisational and client support.
The successful candidate will be proactive, detail-oriented and capable of managing competing priorities while maintaining exceptional service standards.
The Role
Working closely with partners, lawyers and business support teams, your responsibilities will include:
- Providing comprehensive administrative support to legal professionals across a range of practice areas.
- Managing diaries, coordinating meetings and resolving scheduling conflicts.
- Handling incoming calls, correspondence and client communications in a professional and confidential manner.
- Preparing, formatting and proofreading legal documents, presentations and other business correspondence.
- Coordinating client billing processes, including preparing invoices, supporting documentation and covering correspondence.
- Monitoring lawyer time recording and following up on outstanding entries to support timely billing.
- Assisting with the opening of new client matters and maintaining accurate matter information.
- Organising domestic and international travel arrangements and processing associated expense claims.
- Coordinating meeting logistics, including room bookings, video conferencing and catering arrangements.
- Maintaining accurate contact databases and ensuring client information remains current.
- Using document management systems to organise and maintain legal documentation.
- Working closely with finance, facilities, IT and other business support teams to deliver an efficient service.
- Supporting departmental projects and process improvement initiatives.
- Acting as a knowledgeable point of contact for colleagues, providing guidance and assisting with onboarding or training where appropriate.
- Maintaining clear handover notes to ensure continuity of service during periods of absence.
- Undertaking additional administrative duties as required to support the wider team.
About You
To be successful in this role, you will ideally have:
- Previous experience in a legal secretarial or legal administrative role within a professional services or law firm environment.
- Excellent written and spoken English (native or bilingual level preferred).
- Strong Microsoft Office skills, including Word, Outlook, Excel and PowerPoint.
- Fast and accurate typing skills.
- Outstanding organisational abilities with excellent attention to detail.
- The ability to manage multiple priorities and consistently meet deadlines.
- Strong interpersonal and communication skills with a client-focused approach.
- A proactive mindset with the confidence to work independently while contributing positively to a collaborative team.
- High levels of discretion and professionalism when handling confidential information.
- A willingness to learn new systems, processes and technologies.
- Previous experience with legal document management, CRM, billing or time-recording systems would be advantageous but is not essential.
