Salary: Market Related (Approximately R500,000 – R960,000 CTC per annum, depending on experience & current CTC)

Introduction

An established legal practice is seeking a highly experienced Commercial Property & Conveyancing Secretary to join its Conveyancing Department. The successful candidate will provide comprehensive secretarial and administrative support across commercial property transactions, with a strong focus on property transfers and bond cancellations. This role requires exceptional organisational skills, meticulous attention to detail, and the ability to manage multiple matters in a fast-paced legal environment.

Duties & Responsibilities

  • Manage the end-to-end administration of commercial property transfers, including sectional title transfers and bond cancellations.
  • Prepare, draft, proofread and amend conveyancing documentation and related legal correspondence.
  • Coordinate the signing, lodgement and registration of conveyancing transactions.
  • Liaise with clients, financial institutions, correspondents, Deeds Office personnel and other stakeholders throughout the conveyancing process.
  • Conduct property, company and individual searches using relevant search platforms.
  • Administer and ensure compliance with FICA requirements.
  • Maintain accurate electronic and physical filing systems.
  • Prepare and format legal documents, agreements and correspondence, including copy typing where required.
  • Maintain accurate client records and update contact information.
  • Capture professional timesheets and assist with billing administration, including preparing pre-bills and billing documentation.
  • Follow up on outstanding invoices where required.
  • Ensure all matters are administered accurately, efficiently and within required deadlines.

Requirements

  • Matric (Grade 12) is essential.
  • A Legal Secretarial or Conveyancing qualification will be advantageous.
  • Minimum of 8 years' experience as a Conveyancing Secretary, with proven experience in commercial property transfers and bond cancellations.
  • Solid working knowledge of Microsoft Office.
  • Experience working with conveyancing software such as Lexis Convey, E4, Windeed and SearchWorks.
  • Exposure to legal accounting or practice management systems will be advantageous.
