Our Indiana/Ohio regional legal team is seeking a dynamic, collaborative, and experienced Legal Secretary to join our team in our Indianapolis, IN office in a hybrid work arrangement. This is a full-time, non-exempt role.

POSITION OVERVIEW: Primarily responsible for organizing, scheduling, and prioritizing tasks, appointments, and events for efficient daily management of calendars of multiple litigation attorney teams. This role involves coordinating with team members, clients, courts, and other attorneys, and utilizing digital tools to maintain up-to-date and accurate attorney calendars.

IN THIS ROLE, YOU WILL:

Schedule appointments, meetings, court-related events, depositions, and reminders with preparation of related documents (deposition notices, subpoenas, etc.).

Assist in preparing/e-filing final legal papers and correspondence of legal nature as needed.

Assist attorneys and other office personnel with administrative and clerical work.

Coordinate with attorney and paralegal team members to avoid scheduling conflicts and confirm calendars daily.

Prepare and send client and/or witness notice letters/emails as directed by handling attorney.

Review and update upcoming attorney calendars to reflect confirmed calendar events, changes, and rescheduling.

Use digital tools and applications, such as Microsoft Outlook, Microsoft Word, and Legal Files (case management system), for calendar management and communicating with team members, other attorneys, clients, witnesses, courts, and the like.

WHAT YOU NEED TO APPLY:

5-10 years of insurance defense/litigation legal secretarial experience preferred.

Experience with Legal Files case management system a plus.

Ability to manage multiple tasks and priorities with attention to detail.

Excellent verbal and written communication skills.

Proficiency in using calendar management tools such as Microsoft Outlook.

Ability to handle scheduling conflicts and last-minute changes effectively.

Valid driver’s license, an acceptable MVR, and an ability to maintain confidentiality.

Strong organizational skills.

Ability to independently prioritize tasks and multi-task.

Strong communication skills, written and verbal.

Works well with others and establishes sound working relationships.

High School Graduate.
