Role Description:
This is a full-time on-site role as a Legal Secretary / Front Desk Receptionist at Rayed Alhomied Law Firm in Riyadh. The role involves the following primary Responsibilities:
Managing and preparing legal documents and files,
Creating and maintaining filing system and keeping track of current, closed, and archived files. Electronic filing/archiving for emails,
Performing advanced research and compiling data (i.e., statutes, rules, regulations, etc.),
Handling correspondence: open e-mails and letters, revise them, sort them, and reply to them according to the instructions of the Manager,
Managing the Managers’ agenda and Calendar (scheduling appointments, meetings, conferences); preparing minutes of meetings, maintaining and updating Managers’ & Lawyers’ task lists, reminders and monitoring project deadlines,
Preparing proposals and sending them to clients under supervision,
Preparing engagement letters, assignment letters and consent letters, and conflict checks under supervision,
Preparing documentation (creating, editing and formatting documents, agreements, opinion letters, due diligence reports, presentations, and charts),
Providing legal assistance and support to Lawyers as required and requested,
Making travel and hotel arrangements and reservations,
Entering and closing Lawyers’ timesheets,Â
Processing client bills and following up on payments,Â
Utilizing clerical skills and providing administrative support to the Firm,
Diary management to ensure seamless operations at the Firm,
Handling the Law Firm’s social media accounts,
All other secretarial work required.
Qualifications:
Bachelor’s degree in Secretariat or Business Administration, or Diploma degree in Law,
Excellent communication and interpersonal skills,
Excellent time management skills,
Well-developed organizational skills,
Attention to detail and accuracy,
Ability to multitask and organize daily workload by priorities,
Ability to meet deadlines in a fast-paced and quickly changing environment,
Good resilience under pressure,
Experience in diary management,
Legal Assistants and Clerical Skills proficiency,
Strong knowledge of Microsoft applications (Word, Excel, PowerPoint..),
Good understanding of legal terminology and procedures,
Display of professional discretion and maturity,
Proficiency in Arabic & English.
