We are being engaged by a global law firm to support their recruitment for a Legal Secretary position. This role will provide essential secretarial support to the transactional department, with a manageable workload due to the relatively small team structure.

What you will do
- Legal secretarial support: Provide comprehensive administrative and secretarial assistance to attorneys.
- Document preparation: Draft, edit, format, and proofread correspondence and legal documents as requested.
- Billing management: Maintain client billing logs, follow up on outstanding payments and assist with debtor chasing.
- File management: Open new matters, set up client files and ensure e-files are consistently updated and organized.
- Document distribution: Circulate legal opinions and other documents to relevant parties.
- Digital filing: Scan and upload documents into e-files for ongoing matters.
- Elite system usage: Prepare pre-bills, fee notes, and cost entries using the firm’s Elite system.
- Scheduling: Arrange appointments and manage diaries on behalf of supervisors.
- Communication handling: Answer calls, take messages and manage correspondence as directed.
- Research support: Conduct online searches to support marketing initiatives.
- Contact management: Maintain accurate records of supervisor’s business contacts.
- Travel arrangements: Book international travel and accommodation for attorneys.
- Administrative support: Assist attorneys with secretarial tasks to enable focus on fee-generating work.
- Ad-hoc tasks: Perform additional duties as reasonably requested by supervisors.
What you will bring
- Legal secretarial experience: Minimum 2 years' experience gained within in a law firm environment.
- Transactional team support: Prior transactional team experience preferred but not essential.
- Language proficiency: Fluent in English and Chinese; spoken Mandarin is an advantage.
- Multitasking ability: Capable of working under pressure while managing multiple tasks accurately.
- Technical skills: Proficient in MS Office and Chinese word processing.
- Communication & organization: Strong interpersonal skills, detail-oriented and highly organized.
