Transactional Legal Secretary

A well-established law firm is seeking a Legal Secretary to provide high-level administrative and practice-specific support to attorneys and other professionals. This position requires an organized, detail-oriented professional who can manage multiple priorities, work effectively in a fast-paced environment, and provide responsive service to attorneys, clients, and internal teams.

The successful candidate will develop a strong understanding of the attorneys and practice areas they support while maintaining a broader understanding of the firm’s operations and service offerings.

Responsibilities

  • Provide comprehensive administrative support, including managing calendars, coordinating meetings, scheduling appointments, arranging travel, preparing expense reports, and maintaining attorney files.
  • Prepare, revise, proofread, format, and finalize correspondence, legal documents, and other materials specific to the attorneys’ practice areas.
  • Review and process document revisions, redlines, and detailed markups with accuracy and efficiency.
  • Assist with transactional and other matter-related closing processes, including coordinating signature pages and execution materials, organizing documents, and distributing final materials.
  • Compile closing binders, indexes, and other final transaction records.
  • Prepare, file, and obtain corporate and other legal documents as needed.
  • Assist with client onboarding and ensure required information is properly collected and submitted in accordance with internal conflict-check procedures.
  • Maintain accurate attorney calendars, client contact records, and administrative deadlines.
  • Support attorneys with billing and collection activities, including reviewing invoice-related communications and following up on matters as directed.
  • Manage daily workflow, prioritize competing assignments, and ensure work is completed accurately and within established deadlines.
  • Provide administrative and procedural assistance to new attorneys and other team members.
  • Collaborate closely with other legal support professionals and departments to promote efficient workflow and consistent service.
  • Utilize applicable document management, workflow, billing, timekeeping, and other technology platforms.
  • Maintain an active notary commission and perform notarial services for business-related matters when requested.
  • Participate in training programs and assist with the onboarding and mentorship of new or junior staff.
  • Provide peer support and contribute to a collaborative, team-oriented work environment.
  • Perform other duties and special projects as assigned.

Qualifications

  • High school diploma or equivalent required; college degree preferred.
  • Approximately 3–5 years of experience in a law firm or comparable legal environment preferred.
  • Strong ability to interpret detailed instructions and work accurately with complex legal documents and document revisions.
  • Ability to manage multiple assignments, shift priorities, and meet deadlines in a high-volume, deadline-driven environment.
  • Strong problem-solving skills and the ability to quickly identify and resolve document-related issues.
  • Excellent written, verbal, interpersonal, proofreading, grammar, and communication skills.
  • Strong commitment to accuracy, quality, responsiveness, and exceptional client service.
  • Typing speed of at least 70 words per minute with a high degree of accuracy.
  • Advanced proficiency with Microsoft Word, Excel, Adobe, DocuSign, Aderant, and legal time-entry or billing systems.
  • Demonstrated ability to learn new technology and software platforms quickly.
  • Highly organized, proactive, flexible, dependable, and detail-oriented.
  • Collaborative team player with a positive, adaptable approach and a willingness to take on a wide range of responsibilities.
  • Ability to work standard business hours with flexibility for overtime when required.
  • Ability to interact professionally and effectively with clients, attorneys, staff, and management at all levels.
