Transactional Legal Secretary
A well-established law firm is seeking a Legal Secretary to provide high-level administrative and practice-specific support to attorneys and other professionals. This position requires an organized, detail-oriented professional who can manage multiple priorities, work effectively in a fast-paced environment, and provide responsive service to attorneys, clients, and internal teams.
The successful candidate will develop a strong understanding of the attorneys and practice areas they support while maintaining a broader understanding of the firm’s operations and service offerings.
Responsibilities
- Provide comprehensive administrative support, including managing calendars, coordinating meetings, scheduling appointments, arranging travel, preparing expense reports, and maintaining attorney files.
- Prepare, revise, proofread, format, and finalize correspondence, legal documents, and other materials specific to the attorneys’ practice areas.
- Review and process document revisions, redlines, and detailed markups with accuracy and efficiency.
- Assist with transactional and other matter-related closing processes, including coordinating signature pages and execution materials, organizing documents, and distributing final materials.
- Compile closing binders, indexes, and other final transaction records.
- Prepare, file, and obtain corporate and other legal documents as needed.
- Assist with client onboarding and ensure required information is properly collected and submitted in accordance with internal conflict-check procedures.
- Maintain accurate attorney calendars, client contact records, and administrative deadlines.
- Support attorneys with billing and collection activities, including reviewing invoice-related communications and following up on matters as directed.
- Manage daily workflow, prioritize competing assignments, and ensure work is completed accurately and within established deadlines.
- Provide administrative and procedural assistance to new attorneys and other team members.
- Collaborate closely with other legal support professionals and departments to promote efficient workflow and consistent service.
- Utilize applicable document management, workflow, billing, timekeeping, and other technology platforms.
- Maintain an active notary commission and perform notarial services for business-related matters when requested.
- Participate in training programs and assist with the onboarding and mentorship of new or junior staff.
- Provide peer support and contribute to a collaborative, team-oriented work environment.
- Perform other duties and special projects as assigned.
Qualifications
- High school diploma or equivalent required; college degree preferred.
- Approximately 3–5 years of experience in a law firm or comparable legal environment preferred.
- Strong ability to interpret detailed instructions and work accurately with complex legal documents and document revisions.
- Ability to manage multiple assignments, shift priorities, and meet deadlines in a high-volume, deadline-driven environment.
- Strong problem-solving skills and the ability to quickly identify and resolve document-related issues.
- Excellent written, verbal, interpersonal, proofreading, grammar, and communication skills.
- Strong commitment to accuracy, quality, responsiveness, and exceptional client service.
- Typing speed of at least 70 words per minute with a high degree of accuracy.
- Advanced proficiency with Microsoft Word, Excel, Adobe, DocuSign, Aderant, and legal time-entry or billing systems.
- Demonstrated ability to learn new technology and software platforms quickly.
- Highly organized, proactive, flexible, dependable, and detail-oriented.
- Collaborative team player with a positive, adaptable approach and a willingness to take on a wide range of responsibilities.
- Ability to work standard business hours with flexibility for overtime when required.
- Ability to interact professionally and effectively with clients, attorneys, staff, and management at all levels.
