Role Summary:

The Intake Trainer is responsible for collaborating with leadership and delivering comprehensive training programs for Intake Specialists at the Husband & Wife Law Team’s Intake Department. This role ensures new hires are effectively onboarded and trained under our intake policies and procedures. The Trainer maintains and updates training materials including policy documents, job aids, and SharePoint site training content. Additionally, the Trainer maintains the training manual and employee onboarding guide, ensuring all materials reflect current practices and procedures. The Trainer also supports the continual learning and development of the Intake Specialists team by identifying and addressing ongoing training opportunities. Due to business needs, this role requires a blend of responsibilities, with 70% of the time dedicated to the Intake Specialist role and 30% dedicated to the Intake Trainer role.

Key Responsibilities:

Collaborate with leadership and deliver training programs: Conduct training sessions for new and existing Intake Specialists, ensuring they understand the department’s processes and procedures.
Onboarding: Oversee the onboarding process for new hires, ensuring they are well-integrated into the team and understand their tasks.
Policy and Procedure Updates: Maintain and update policy and procedure documents on the SharePoint site, ensuring timely revisions and accuracy.
Job Aids Creation: Develop job aids and other instructional materials to help Intake Specialists understand and follow processes.
Training Manual and Onboarding Guide: Compile and update the training manual and employee onboarding guide to reflect current practices.
Documentation of New Processes: Assist in documenting any new policies or procedures, ensuring clear and concise communication with all relevant staff.
Feedback and Improvement: Collect feedback from trainees and other stakeholders to continuously improve training programs.
Performance Tracking: Monitor and report on the progress and performance of trainees, identifying areas for improvement.
Collaboration: Work closely with other departments to ensure training materials are aligned with overall firm objectives and compliance requirements.
Compliance: Ensure all training programs comply with legal and regulatory requirements.
Continual Learning: Identify and address ongoing training opportunities for the Intake Specialists team, providing training on various topics as needed to support their continual learning and development.
Perform Intake Specialist role (Tier 1) when training prep. or training delivery obligations are not scheduled.

What We’re Looking For:

Education:

High School Diploma
Preferred: Degree in Adult Learning and Education

Skills:

Ability to captivate and engage with learners
Wildly passionate about the HWLT’s mission and values
Attention to detail on process and procedure
Ability to articulate complex processes in a way that new learners easily understand
Strong technical skills required to create training materials (PowerPoint, Word, SharePoint)
Superior customer service skills
Effective communication skills are essential to provide clear guidance and purpose (the reasoning) behind standard procedures
Ability to detect and resolve conflict within training environments
Skilled at training, classroom management and lesson pacing
Flexibility to adjust schedules and training locations (on-site vs. remote training)
Time-management skills required to keep training plans on task
Resourceful and motivated to solve issues as they arise
Strong attention to detail
Proven track record in meeting goals and deadlines

Experience:

Minimum one year of experience required as an Intake Specialist
Strong background in performance-based metrics
Case Management software experience is a major plus

Expected Work Hours: This is a hybrid position that will alternate between trainer and intake specialist responsibilities.

Expected Work Setting: The work primarily takes place in an office setting characterized by a high-volume and fast-paced environment. On-site training is expected for weeks at a time.

Physical Demands: The position requires the ability to lift boxes and/or pull a mail cart weighing between 25 and 40 pounds. Additionally, it involves long periods of sitting while performing computer-related tasks.
