The 5th Judicial District’s Polk County Court Administration has an immediate opening for a Judicial
Specialist 2.

Under the direct supervision of the Assistant District Court Administrator, candidates should have the desire to learn the complexities of our court case processing system using our statewide Electronic Document
Management System (EDMS). This position may occasionally involve travel to other counties in
the district.

The starting salary for new State employees is expected to be at the base of the pay range. The starting pay for this position is $18.59 hourly.

Hours: Monday – Friday 8:00A – 4:30P

To be successful in this position you will need to have the following:

Strong organizational and time management skills: The role requires efficient management of court calendars, scheduling hearings, and coordinating with various parties.
Excellent written and verbal communication skills: Effective communication with attorneys, court staff, and the public is essential for this position.
Proficiency in Microsoft Office Suite: Familiarity with Word, Excel, Outlook, and other office software is necessary for administrative tasks.
Ability to work independently and as part of a team: The specialist will often work independently but must also collaborate with others to ensure the smooth operation of the courtroom.
Familiarity with juvenile court proceedings: Understanding the procedures and legal aspects of juvenile court cases is beneficial.
Strong attention to detail: Accuracy and precision are crucial in handling legal documents and ensuring the correct procedures are followed.
Ability to multitask and prioritize tasks effectively: The role involves managing multiple tasks simultaneously and prioritizing them based on importance and urgency.
Customer service skills: The specialist will often interact with the public and must be able to provide excellent customer service.
Adaptability: The role requires flexibility to adapt to changing circumstances and situations.
Ethical and professional conduct: Maintaining confidentiality and upholding high ethical standards is crucial.

The Judicial Specialist plays a vital role in ensuring the smooth and efficient operation of the courtroom. This position requires a highly organized and detail-oriented individual with excellent communication skills. The Judicial Specialist will coordinate court schedules, provide support during trials, maintain a positive and professional demeanor, and interact effectively with various stakeholders, including attorneys, court personnel, and the public.

Key Responsibilities:

Manage court calendars and coordinate schedules for the judge and court personnel.
Provide support for trials, including assisting the judge and jury.
Maintain a pleasant demeanor while working in a fast-paced environment.
Coordinate scheduling with external agencies, such as the county attorney, public defender, and private bar.
Arrange interpreter services for court hearings.
Utilize various computer systems, including Iowa’s case management system and Electronic Document Management System.
Prepare correspondence and respond to public inquiries.
Ensure the timely start of court proceedings and the presence of all parties.
Coordinate inmate transportation through the Sheriff’s office.
Generate and process notices, documents, and draft orders.
Track and ensure compliance with statutory deadlines for cases.
Provide exceptional customer service by assisting and communicating with court users in a professional, courteous, and respectful manner..
Operate courtroom technology during court procedures.
Travel to neighboring counties as needed.

This is a non-merit position with the Iowa Judicial Branch. Candidates must follow the instructions in the “To Apply” section.

Positions in this class are exempt from the screening and referral requirements of the Iowa Department of Administrative Services – Human Resources Enterprise.

Minimum Qualification Requirements

Graduation from an accredited high school (or High School Equivalency) and two (2) years of successful completion of accredited post high school education in business, paralegal, computer, legal assistant or related program. Two (2) years of professional office experience in business, court or legal work or a related area with one (1) year of the experience involving customer service. At the discretion of the appointing authority additional years of experience may be substituted for the required post high school education.

Or, the successful completion of additional years of education (i.e., Bachelor’s Degree) may be substituted for years of experience on the basis that successful completion of thirty (30) semester hours or academic equivalent equals one year of experience. Education cannot be substituted for customer service experience.
