**This is a full time permanent role**

**Hybrid schedule-3 days a week in office**

The Role:

Our leading law firm client is seeking a highly skilled Legal Secretary (Client Service Specialist) to support attorneys in the firm’s Litigation Practice Group. This role plays a key part in delivering high-level administrative and client service support to both internal teams and external stakeholders.

Job Duties:

Serve as a primary point of contact for client communications and meeting coordination

Manage a variety of administrative functions, including time and expense entry, billing support, opening new matters, preparing client presentations, and handling ad hoc projects

Maintain an in-office presence to support a collaborative work environment and facilitate cross-training, workflow optimization, and consistent support

Draft, proofread, and format litigation documents such as pleadings, motions, subpoenas, discovery requests, and correspondence, ensuring compliance with court rules and firm standards

Organize and maintain case files (electronic and physical) and monitor key deadlines and court dates

Coordinate court filings and apply subject matter expertise in litigation procedures and document requirements

Assist with discovery, document review, production, and manage e-Discovery projects, including coordination with vendors

Support the billing process by ensuring accurate timekeeping, applying billing codes, managing rate changes, and reviewing/preparing expense reports

Handle scheduling, calendar management, travel arrangements, and deadline tracking

Work overtime as needed to meet case or client demands

Required Skills & Proficiencies:

Proficiency with Intapp Time, Chrome River, iManage, and document management systems

High-level proficiency in MS Word, Outlook, Excel, PowerPoint, and related legal software and document comparison tools

Advanced knowledge of State and Federal court e-filing systems, and a comprehensive understanding of court rules

Strong command of English grammar, punctuation, and formatting standards

Excellent multitasking, organization, and communication skills with an emphasis on team collaboration and time management

Proven ability to work effectively in a fast-paced, high-volume litigation environment and coordinate across departments

Qualifications:

Minimum of 8 years of experience supporting a litigation practice group

An Associate’s or Bachelor’s degree preferred

Notary certification preferred
