Our client is a boutique commercial law firm that operate in specialist sectors, they have a unique offering and partner with thriving businesses in growth industries. They service a niche but broadly operate across Commercial, Property, and Estates. They have around 20 staff in the Sydney CBD office and due to continued success and reputation, they have grown 30% over the last 2 years, this organic growth is the reason for this new role. You will be an experienced Legal Secretary who is looking to join their small and friendly team (there are potential growth opportunities for the right person also). They have a great reputation they are highly regarded in the industry. The main focus of this role is to assist the Solicitors and Principals with legal administration as well as some diary management.

Duties:

File Maintenance and Matter Management, high level file management including file opening, file closing, hard copy, and electronic filing.

Draft initial letters and cost disclosures.

Manage data entry and updates in practice management systems (Practice Evolve).

Maintain Practice Evolve files and diarise relevant dates.

Manage general file maintenance, including scanning, reporting emails, and preparing final letters and invoices.

Monitor diaries of the Principals

Assisting with client management including consulting with clients and maintaining key contact information

Coordinate documentation requests for potential new clients.

Personal Specifications

At least 6 years’ experience as a Legal Secretary or Paralegal.

High level of attention to detail.

Strong research and problem-solving skills.

Knowledge and experience of Microsoft products and Practice Evolve (document management system).

Always perform your responsibilities honestly and to a professional standard.

Impeccable time management and organisational skills.

Excellent written and oral communication skills.

Demonstrated ability to work both collaboratively and independently in a busy team environment.

Ability to work under pressure, and respond promptly and effectively to Solicitors.

Have a happy to help attitude where no job is too small.

Excellent client service skills.

Desirable to have experience in Commercial, Property and Estates law
