Responsibilities
Summary:
To provide secretarial, administrative and research services, supporting legal counsel by preparing and processing legal documentation, maintaining case records, coordinating communications and scheduling activities.
- Create letters, memoranda, reports, opinions, briefing notes and legal documents (e.g. summonses, consents, orders, agreements, affidavits, legislation and regulations, orders-in-council, factums, books of authorities) from handwritten notes, verbal instruction, dicta phone tapes, and/or diskettes. Ensure adherence to legal style, format, terminology and proofread for accuracy.
- Prepare and process legal documents from research, precedents or information provided by lawyers and other officials, e.g. pleadings, factums, notices of motion, compendia, consents, statements of claim, notices of defence, legislation and regulations, orders-in-council; photocopy and bind legal documents.
- Handle telephone calls, communicating with staff, members of the legal profession, the public and court administration officials to provide and/or obtain background information on requests/decisions, relaying instructions/information, explaining legal procedures and documents; determining the nature and scope of releasable information.
- Update computer log (computerized file/case management system/database/time docketing system) of all legal documents and correspondence, tracking court information, preparing month end reports and conducting searches on the database for history of file; maintain hard copy records/files and arrange transfer to archives as required.
- Open mail, sorting and prioritizing incoming correspondence, and retaining correspondence for own attention.
- Compose and sign letters as required, and draft executive letters in accordance with established procedure and format (reviewed by lawyers and/or supervisor) for signature by senior officials.
- Maintain filing system and bring-forward system for lawyers.
- Organize and coordinate meetings, proceedings/court appearances appointments and conferences/courses; arrange travel and accommodation and prepare travel claims; assemble background material, prepare and distribute agendas.
- Retrieve information pertinent to case histories from lawyers or parties as instructed, researching files and law library for relevant references, citation and statutes to be inserted in legal documents as instructed, meeting priority assignments; communicate with other professionals, staff, and agencies to obtain additional information as required.
- Additional legal and administrative responsibilities as required.
Qualifications
Education:
Diploma in Legal Administration or related field, or applicable combination of work experience and education.
Preferred
Work Experience:
Experience providing legal secretarial support within a litigation environment.

Litigation law experience.
Technical and Language Skills Requirements:
- Minimum typing speed of 50 WPM (will be tested).
- Proficiency in MS Office 365 including Word and Excel (may be tested).
- Proficiency with computerized file/case management systems, databases and time docketing systems.
- Proficient English communication skills, both written and verbal, including strong legal writing skills, excellent spelling, grammar, proofreading and syntax, and polished, professional telephone manners.

- Strong knowledge of legal procedures and documentation requirements within a civil litigation environment.
- Ability to prepare, format and proofread legal documents in accordance with legal style and terminology.
- Superior attention to detail, and organized, methodical approach to completion of tasks.
- Focused and able to work effectively with minimal direction and supervision, to prioritize tasks effectively, and to manage volume targets and due dates.
- Proven ability to professionally handle confidential information and exercise good judgement in the interpretation and application of instructions and organization policy.
- Advanced organizational, coordinative and time management skills, with the ability to prioritize work effectively, meet tight deadlines and work well under pressure.
- Demonstrated ability to work well independently and collaboratively, and liaise effectively with counsel, internal staff, court officials and external stakeholders.
Additional Requirements:
- Must be legally entitled to work in Canada, providing satisfactory documentation upon request.
- Ability to work 100% onsite, abiding by organization health and safety policies.
- Ability to promptly provide minimum of 2 reasonably recent, qualified employment references upon request who are available to speak with either Marberg or Marberg’s client.
- Ability to declare personal Non-Conflict of Interest in execution of assignment responsibilities prior to assignment start.
- Provision of certification of AODA and OHSA online training course completion prior to assignment start.
