Wilson Legal Group P.C. (Wilson Whitaker Rynell) is a multidisciplinary litigation and business law firm in Dallas. We represent entrepreneurs, middle-market companies, and families across commercial litigation, intellectual property, family law, probate/estate matters, and alcoholic-beverage regulatory work (TABC/TTB). We’re seeking a professional, personable, and highly organized Legal Receptionist & Client Intake Specialist to join our team. The primary role will be intaking and managing new client consults and answering phones for all clients, with additional responsibilities in social media management and collections.

 

Key Responsibilities

  • Answer, screen, and professionally manage all incoming phone calls for current and prospective clients across every practice area while delivering exceptional client service and accurate message-taking/routing.
  • Lead new client intake and consultation management: screen inquiries, schedule and coordinate consults, gather preliminary case information, prepare intake forms and new-matter files, and ensure a smooth, professional onboarding experience.
  • Support collections and accounts receivable: send polite reminders, conduct courteous follow-up calls on outstanding invoices, process payments, and assist with billing inquiries while preserving positive client relationships.
  • Assist with social media management: help create, schedule, and post content across the firm’s platforms (LinkedIn, Facebook, Instagram, Google Business, etc.), engage with followers, respond to messages, and support the firm’s online presence.
  • Greet clients and visitors warmly and professionally in the office and maintain an organized, welcoming reception area.
  • Schedule appointments, manage shared calendars, and provide general administrative support (mail, scanning, filing, data entry) as needed.
  • Maintain strict client confidentiality and uphold the highest standards of professionalism at all times.

Requirements / Qualifications

  • 1–3 years of receptionist, administrative, or high-volume customer service experience (law firm or professional services environment strongly preferred).
  • Exceptional phone etiquette, verbal and written communication skills, and a warm, professional demeanor.
  • Strong organizational skills with the ability to multitask effectively in a fast-paced environment.
  • Comfort or experience with social media content creation and collections/accounts receivable work is a significant plus.
  • Proficient in Microsoft Office (Outlook, Word, Excel); quick learner of practice management software.
  • Reliable, detail-oriented, discreet, and a true team player with a client-first attitude.
